Court Order Assistant AI Agent Workflow

We have simplified the processing of involuntary deductions with the new Court Order Assistant Agent.  This AI-powered agent workflow for Oracle Fusion Payroll is now your centralized hub for processing court-ordered involuntary deductions. With this agent workflow, you can upload court order documents, classify orders, extract and enrich order details, route orders for review, and create or update involuntary deduction info.

Powered by Oracle’s AI Agent framework and AI Agent Studio, this agent workflow helps you reduce manual interpretation and data entry while preserving user control over payroll-impacting actions.

The agent provides a complete workflow for court order processing, including:

  • Upload court order documents, PDFs, and scanned images from the Court Order Workbench.
  • Track documents by UCM ID.

The ID is created for each uploaded document and is used for tracking, review, and audit.

  • Monitor processing status for each order.
  • View document-level confidence indicators to prioritize review.
  • Review extracted and enriched court order info.
  • Compare the source document against the extracted and enriched data.
  • Correct the extracted values as needed.
  • Approve, reject, or edit the order.

Rejection requires a reason.

Orders that have been quarantined by the agent or are otherwise unprocessable can be edited or rejected but can’t be approved.

  • Maintain traceability from the document through review and payroll execution.

This agent follows a human-in-the-loop model. The agent prepares the court order for review and execution, but payroll updates are performed only after approval by an authorized user.

Steps to enable and configure

Verify the required AI Agent Studio setup is complete. Refer to the Key Resources section for additional info.

Create an agent template to configure your involuntary deduction element and third-party payee mapping details.

  1. In Oracle AI Agent Studio, create a customer-specific agent from the predefined Court Order Assistant template available in the HCM – Global Payroll.
    1. Open AI Agent Studio.
    2. Search for Court Order Assistant.
    3. Select Use Template.
    4. Under Details, enter the agent’s name as Production and enter the agent code as _PROD.
    5. Leave other info as-is and click Update.
  2. Review the predefined agent workflow page, and retain the orchestration unless your enterprise requires implementation-specific changes.
  3. Use the ChooseElement LLM node to configure any payroll element mappings for the order types you want to process.

Make sure the prompt maps outOrderType to a payroll element.

  1. Use the CHOOSE_PAYEE LLM node to configure any third-party payee mappings your need for creating or updating involuntary deductions.
  2. Click Save and then Publish.

Tips and considerations

  • Use the Oracle AI Agent Studio to extend the Court Order Assistant framework. You can refine rules for additional court order formats, jurisdiction-specific variations, and customer-specific mappings.
  • Use the Workbench confidence indicator as a triage aid.
  • Multiple court order documents or scanned images can be uploaded
  • Avoid uploading files that include multiple orders.

For best results, upload one scanned image or court order document per file

Each file shouldn’t contain more than one order for the same person and order type

  • The agent workflow updates the involuntary deductions only after approval by a user with the required privilege.
  • While the agent supports processing structured income withholding orders by default, including child support, alimony, and spousal support, you can extend it for additional court order processing scenarios.

Because court order documents can vary by issuing agency, jurisdiction, court, and document format, use the Oracle AI Agent Studio to refine classification, extraction, validation, and mapping rules to meet your business needs.

Access requirements

The "Manage US Court Orders” (ORA_HRX_MANAGE_US_COURT_ORDERS) aggregate privilege grants access to the US Court Orders Workbench. Users with this privilege can upload, review, edit, approve, reject, and submit all US court orders for processing.

It isn’t granted to predefined roles. You must grant it to a configured role that is assigned to only those users who are authorized to manage US court orders for all workers.
