Estimated Fees for Renewal

Agencies can configure the Renewal Estimate option, which allows them to calculate the estimated penalties and renewal fees for "about to expire" and "expired" business licenses. Note that estimated fees and penalties are calculated during the "about to expire" and "expiration" phase respectively. The penalty fee is estimated based on the configured formula against the outstanding time. When an agency or applicant submits the renewal request, penalties and interest amount are calculated based on the date.

Agencies can leverage this feature to send communications to businesses about the estimated renewal fees.

Informs public users what the fees and penalties they may owe before processing application.

Steps to Enable

There are many processes that need to be configured for this feature including: 

  • Configuring the Fee Schedule 
  • Configuring the Business License Expiration Group
  • Running the Process Expiration Rules process
  • Setting up Expiration Communication events 

To enable:

  1. Navigate to Billing Setup > Setting Up Fee Schedules. 
  2. Enter the values on the Fee Schedule Details page. 
  3. Enable the "Renewal Estimate" option for the Fee Item. 
  4. Click Save. 
  5. Navigate to Business License Setup > Business Expiration Group. 
  6. On the Business License tab, select Business License Expiration Group. 
  7. Enter the values as necessary for either "License expiration - fixed date" or "License expiration - issue date rule".  
  8. Click Save. 
  9. Run the Process Expiration Rules process. This should trigger the calculation of renewal fee estimates when the license is about to expire and again when the license expires. 
    • Note - after the license has expired the estimated fee calculations will no longer be triggered. 
  10. To add the estimated renewal fees in the expiration communication event template, navigate to Communication Setup > Communication Events and update the communication events to include the estimated renewal fees. 

Tips And Considerations

This is supported only for Business License.

The fees will have a status of "Estimated".
