Edit Criteria for Populating and Purging Activities in Individual Records

You can review and edit the criteria that are used by the Publish Feed Elements process to populate activities in your records at the start of your implementation (Day Zero). The process also uses the sames Day Zero criteria to select activities to populate in records you import.

Using the same UI, you can also edit the criteria for purging old activities from records. Activities are purged using a background process that runs automatically every week. The activities that are removed by the process can't be retrieved.

To review edit the criteria:

  1. Select Navigator > Configuration > Configure Activities Display.
  2. Select the Configure Day Zero and Purge Criteria button.
  3. On the Configure Day Zero page, review and edit the criteria for populating activities in records from the different sales objects.

  4. Select Continue.
  5. On the Configure Purge Criteria page, review and edit the criteria for purging activities from records.
  6. Select Continue.
  7. Review and save.

Default Criteria for Populating Records with Activities

The Publish Feed Elements process populates activities in records that meet the following criteria:

Object Criteria
Lead Lead status equals Unqualified or Qualified and the lead was updated in the last 180 days
Opportunity Opportunity status is Open and the opportunity was updated in the last 300 days
Account All accounts of type Customer and Prospect with any tasks and appointments added in the last 300 days
Contact All contacts that were updated in the last 300 days.

In the records that meet the previous criteria, the process uses the criteria in the following table to select the activities to include:

Leads

Child Object Criteria
Activity Type = Appointment

All activities of type Appointment that haven't passed the due date.

All activities of type Appointment that have passed a due date 60 days from current date.

Activity Type = Task

All activities of type Task that have the following status: Not Started, In Progress, and On Hold.

All tasks in the Completed status that passed a due date 60 days from current date.

Notes All available notes that were created or updated in the last 60 days.
Audit Log Audit log that shows the Created By and Updated By information for the Lead record.

Contacts

Activity Type = Appointment

All activities of type Appointment that haven't passed the due date.

All activities of type Appointment that have passed a due date 180 days from the current date.

Activity Type = Task

All activities of type Task that have the following status: Not Started, In Progress, and On Hold.

All tasks in Completed status that has passed the due date 180 days from current date

Notes All available notes that were created or updated in the last 180 days.
Audit Audit log that shows the Created By and Updated By information for the Contact record.

Opportunities

Activity Type = Appointment

All activities of type Appointment that haven't passed the due date.

All activities of type Appointment that have passed a due date 180 days from current date.

Activity Type = Task

All activities of type Task that have the following status: Not Started, In Progress, and On Hold.

Notes All available notes that were created or updated in the last 180 days.
Audit Audit log that shows the Created By and Updated By information for the Opportunity record.

Account Objects

Activity Type = Appointment

All activities of type Appointment that haven't passed the due date.

All activities of type Appointment that have passed a due date 180 days from current date.

Activity Type = Task

All activities of type Task that have the following status: Not Started, In Progress, and On Hold.

Notes All available notes that were created or updated in the last 180 days.
Audit Audit log that shows the Created By and Updated By information for the Account record.

Service Requests

Audit Audit log that shows the Created By and Updated By information for the service request record.
Messages

All service request messages of the following types:

  • Customer Entry
  • Response
  • Internal Note
  • Forwards
  • System Note
  • System Response
Interactions Interactions for all service requests where StatusCd = "ORA_SVC_CLOSED" AND ChannelTypeCd IN [ "ORA_SVC_CHAT","ORA_SVC_PHONE"]

Default Criteria for Purging Activities

When a record meets the criteria shown in the following table, all of its activities are purged.

Note: When a record is deleted, the process automatically purges all the corresponding activities.

Criteria for Purging All Activities from a Record

Object Default Criteria
Leads All Leads where the STATUS IN (RETIRED or UNQUALIFIED) AND LAST UPDATED DATE value is greater than or equal to one year.
Opportunities All Opportunities where the STATUS IN (LOST; NO SALE; WON ) AND LAST UPDATED DATE value is greater than or equal to one year.
Accounts Accounts that are inactivated (soft deleted).
Contacts Contacts that are inactivated (soft deleted).

The following table shows the default criteria used for to purge different types of activities on Account, Contact, Lead, and Opportunity records. These criteria let you purge activities in records that don't meet the criteria for parent objects.

Notes All Notes where the Last Updated Date is greater than or equal to one year.
