Archive Teams Associated with Closed Opportunities

When an opportunity closes in Sales, the team associated with the opportunity may not need to collaborate any longer. You can set up the sales application to automatically archive such teams you created in Microsoft Teams.

Only teams associated with closed opportunities are auto-archived. An opportunity is considered closed when the opportunity status belongs to one of these status categories:
  • Lost
  • No Sale
  • Won

Moreover, when an opportunity is reopened in Sales, the associated team in Microsoft Teams is automatically restored. An opportunity is considered open when the opportunity status is set to a category that means Open.

Auto-Archive Teams

To enable auto-archiving, do these two setups:
  1. Activate Common CRM Signals.
  2. Enable the archive option for Microsoft Teams.

Activate Common CRM Signals

  1. In the Setup and Maintenance work area, go to:
    • Offering: Sales
    • Functional Area: Sales Foundation
    • Task: Manage Administrator Profile Values
  2. On the Manage Administrator Profile Values page, search for the profile option name, Common CRM Signals Active (ORA_ZCA_ENABLE_SIGNALS).
  3. Set the Site value to Yes.
  4. Click Save and Close.

Enable the Archive Option for Microsoft Teams

  1. In the Setup and Maintenance work area, go to:
    • Offering: Sales
    • Functional Area: Integrations
    • Task: Manage Microsoft 365
  2. On the Manage Microsoft 365 page, go to the Microsoft Teams tab.
  3. Select the Archive Opportunity Team in Microsoft Teams Enabled check box.
  4. Click Save and Close.

If you haven’t set up Microsoft Teams already, go through the steps provided in the topic, Set Up Microsoft Teams for Sales and complete the setup. After that, enable the archive option so that when an opportunity closes, the corresponding Microsoft team gets archived automatically.
