Create Charges

Use the Create Charges option to enter the debrief information for labor, parts and expenses for your third-party work orders and the service work orders that you haven't debriefed.

You'll use the Create Charges option to capture debrief transactions and create service charges for generic work orders and third-party work orders. Debrief and charges for Field Service Cloud work orders are created through an Oracle Integration Cloud (OIC) integration. Field Service administrators also use this page to review and adjust the charges from Oracle Field Service Cloud. See the Edit and Post Charges section that follows.

When you're performing break/fix field service, you don't need to select an asset before posting field service charges. In this case, the Post Charges program uses a fallback asset to create the maintenance work order that updates inventory, installed base, and cost accounting. The Field Service Fallback Asset Number profile option (RCL_DEF_FS_FALLBK_ASSET), stores the fallback asset number. Also, the Cost Organization list of values uses the fallback asset's operating organization when an asset hasn't been debriefed.

Select the cost organization that will be used to create the maintenance work orders when you post charges. The organization can default from either the asset being serviced or the field technician providing the service. This is decided by how you've defined the ORA_RCL_DEF_COST_ORG profile option.

To open the Manage Charges and Estimates page and enter debrief information for labor, parts and expenses:

  1. In the Manage Work Orders and Charges page, click Create Charges.

  2. Unless it's noted in the table, you can edit fields in the header region before posting your first charge line.

    Cost Organization

    Select the cost organization that's used to create maintenance work orders when you post your charges. This organization can default from the asset being serviced or the field technician providing the service (based on the ORA_RCL_DEF_COST_ORG profile option setup). Change or confirm the maintenance work organization in the Cost Organization drop-down list to ensure that you post service costs (parts, labor, and expenses) to the correct business unit. This list contains the maintenance organizations that can service the asset's operating organization, which is set up in the Manage Maintenance Organization Relationships page.

    If you change the asset, then the cost organization updates to match the asset's operating organization.

    Note: When you're performing a break/fix field service, this list of values uses the fallback asset's operating organization when an asset hasn't been debriefed.

    Cost Subtype

    Defaults from the work order subtype of the asset on the debrief/charges header. Change or confirm the cost subtype in the Cost Subtype drop-down list to ensure that you're posting charges to the correct account. This list contains the subtypes set up in the Maintenance lookup (ORA_MNT_WO_SUB_TYPE).

  3. Click the Labor tab and then click the Create (+) button to access the Add Labor Details window.

    Record the expenses incurred on labor and save the record. You must complete the Activity, Item, Start Time and End Time fields.

  4. Click the Parts tab to create your parts debrief and then click the Create (+) button to access the Add Part Details window.

    Record the part details and save the record. You must complete the Activity, Sub Inventory, Item, UOM, and Serial Number fields.

  5. Click the Expense tab to add details about other expenses and then click the Create (+) button to access the Add Expense Details window.
