Troubleshooting Stuck Disbursements

You troubleshoot disbursment issues.

Disbursing

To utilize manual features, you must have the associated Role Permissions. Disbursement Administration Role Permissions should be limited to users with extensive knowledge of the Student Financial Planning system and its data exchange interactions. Manual mode should be used by experienced users with an in-depth knowledge of the downstream impacts.

Note: Manual updates should be made where it will have the most impact on downstream processing.

For example, if a Disbursement Amount is inaccurate, the user must determine if the update should be made at the Fund Level (Packaging Screen) or at the Disbursement Level (Disbursing Screen). If the Fund Amount (Packaging Screen) is updated, future re-packages will not impact Disbursements downstream. However if the Disbursement Amount is updated (Disbursing Screen), future re-packages could cause the Disbursement Amount to be updated, resulting in an inaccurate Disbursement Amount due to new information.

Troubleshooting disbursements that have remained in a "Ready to be Sent to COD" or "Sent to COD" status

An authorized user can update the disbursement status through the Disbursement Administration tool. A user may want to do this if they feel the disbursement has gotten stuck on a specific status and needs to be picked up in the next origination or disbursing batch job and re-sent to COD.

Origination Ready to be Sent to COD or Origination Sent to COD

If an origination has been in a status of Origination Ready to be Sent or Origination Sent to COD status check the following:

  1. Make sure the student meets Origination Criteria
    1. Anticipated Disbursement Date has been set
    2. Disbursement Amount has been set
    3. Student must have an acceptable enrollment status (based on configuration)
    4. Student must have an acceptable admissions status (based on configuration)
  2. If the student's disbursement has an Anticipated Disbursement Date, Disbursement Amount and has met Origination Criteria, update the disbursement status using the Disbursement Administration Tool
  3. Update the Disbursement Status to Disbursement Scheduled
    1. Click the Save Disbursement Records button
    2. Click the Re-Originate link, (not the Send Originations to COD button)

Disbursement Ready to be Sent to COD or Disbursement Sent to COD

If a disbursement has been in a status of Disbursement Ready to be Sent or Disbursement Sent to COD status check the following:

  1. Review the Common Record Information screen and make sure the disbursement has an Accepted origination record
  2. Review the Disbursement Criteria and make sure all Disbursement Criteria have been met
  3. If the disbursement has an Accepted origination and all Disbursement Criteria have been met, update the disbursement status using the Disbursement Administration Tool
  4. Update the status to Origination Accepted
    1. Click the Save Disbursement Records button
    2. Click the Re-Originate link, (not the Send Originations to COD button)

QC Reviewed (Title IV funds only)

If a disbursement has been in a status of QC Reviewed status check the following:

  1. Check the QC hold(s) for the disbursement has been Released.
  2. If the hold(s) have been released check the following:
    1. Student has met all Disbursement Criteria.
    2. Student has an Accepted origination record for the disbursement in question.
  3. Update the status to Origination Accepted.
    1. Click the Save Disbursement Records button.
    2. Click the Re-Originate link, (not the Send Originations to COD button).

Fixing multiple disbursements

If there are multiple disbursements that are stuck, you may need to update them one at a time based on status and sequencing.
