Update The Cancellation Reason And Date

You can add, update or remove the cancellation reason and date through the disbursement administration screen.

Overview

You can choose from any of the alternate cancellation reasons or remove it. Make sure to update the disbursement status appropriately when updating the cancellation reason.

Tips for Updating the Cancellation Reason and Date

Adding the Cancellation Reason

  • Update the Disbursement Status to Disbursement Canceled
  • Select Cancellation Reason
  • You must enter a Cancellation Date

Editing the Cancellation Reason

  • Confirm the Disbursement Status is Disbursement Canceled
  • Select any alternate Cancellation Reason
  • Update the Cancellation Date as needed

Removing the Cancellation Reason

Note: Make sure to Save Disbursements, Send to COD or Re-originate the fund group to complete the update. See Disbursement Administration for more details about these options.

Required Role Permissions

The user must have a role with the following General Permission(s) through Roles Management in order to complete the manual processing steps listed below.

  • Administration
  • System Management
  • Disbursement Administrator

Manual Processing Steps

Add a Cancellation Reason / Date

Log into the Student Financial Planning User Interface (UI)

  1. Navigate to Administration > System Management > Disbursement Administration
  2. Enter the student's External Student ID in the search field and select the student
  3. Click the Disbursement Status drop-down menu and update the status to Disbursement Canceled
  4. Click the Cancellation Reason drop-down menu and choose a Cancellation Reason
  5. Click the Cancellation Date field to access the calendar picker and choose a Cancellation Date
  6. Click Save Disbursement Records
    • Confirm Updates
    • Refresh screen and review updates
    In this scenario, if you need to communicate the updates to COD:
    • To send only the updated disbursement record(s) to COD, click Re-originate to the right of each updated disbursement.
    • To send all disbursement records to COD, click Send Originations to COD.
  7. Review disbursing screen and confirm the Disbursement Status
  8. Click the Sequence Number and confirm the Cancellation Reason

Remove a Cancellation Reason / Date

Log into the Student Financial Planning User Interface (UI)

  1. Select the appropriate disbursement status from the disbursement status drop-down menu
  2. Select the "Null/Blank" option at the top of the Cancellation Reason drop down menu
  3. Click the X to the right of the Cancellation Date to remove it
  4. Click Save Disbursement Records
    In this scenario, if you need to communicate the updates to COD:
    • To send only the updated disbursement record(s) to COD, click Re-originate to the right of each updated disbursement
    • To send all disbursement records to COD, click Send Originations to COD.
  5. Review disbursing screen and confirm the Disbursement Status
  6. Click the Sequence Number and confirm the Cancellation Reason (Section should not be displayed)
