Manage Refunds

Use the Manage Refunds page to refund multiple recipients. You can also view a list of the refund requests you have initiated in the past, present, and scheduled for the future.

You need to make sure these elements are set up:

  • In Oracle Fusion Cloud Payables, set up payment methods.
  • On the Academic Business Unit page, set up refund methods. This ensures that as you're issuing refunds, the list of refund methods you can choose from are ones that are relevant to the business unit.
  • In Oracle Fusion Cloud Receivables, set up approval limits for every individual who will issue refunds. If the refund request fails, this may be one of the causes. The approval limits dictate which transactions an individual can approve.

To access the page, from Student Central search for Manage Refunds.

The landing page is the View Refunds page. There's also a Refund Processes page where you can see a list of the batch refund processes that were initiated in the past, those that are scheduled for the future, or ones that are currently running. You can also see which processes didn't succeed.

On the View Refunds page, you can see a list of refund payment requests for individuals and organizations. Filter and sort the list so you're only looking at the records that you want, the way you want. You can also search for a specific record.

When you click a refund number, you can see more information about the refund request for a recipient. The following tabs provide various information about the refund.

Details

This page shows information about the refund and the request process that a particular refund number was a part of. So you can see information like the process ID, the date and time the request was run, the receipt that was refunded, and so on.

If the process ran successfully, you will see an invoice number. The invoice number corresponds to the payment request invoice number in Receivables.

But if the process wasn't able to create a payment request invoice for the recipient, you can click Retry to run the refund request process again.

Transaction

This page lists the receipt and relevant invoices that were included in the refund amount calculation.

Refund Payments

This page shows information like the refund payment method. If you use Oracle Fusion Cloud Payables to disburse the refund, you can also see accounts payable information. For example, for refunds done by electronic transfer, you will see the bank account number, payment number, the invoices that were paid, payment status, and so on.
