How You Use Smart Search to Search For and View Assets in the New Assets UI

You can manage your assets using either the Manage Assets page or the Asset Information Management.

Use the existing Manage Assets page to search for, create, and edit your assets. On this page, you enter one of several mandatory search criteria and optionally one or more additional filter criteria. A standard database search gives you results in a list, where you can view the attachments and details of the item associated with the asset. You can also mark an asset as favorite for easy tracking.

On the new Asset Information Management page, you can search for your assets using Oracle's smart search and filters. You can quickly and easily perform full-text searches for assets across dozens of attributes using this enhanced search function. You can view the search results in a sortable table based on matching records.

You can search for assets using one or two methods. The existing Manage Assets page can be accessed via the Tasks pane of the Maintenance Management work area. This page uses a standard database search where you are expected to enter one of several mandatory search criteria and optionally one or more additional filter criteria. Search results are then displayed in a list view based on matching records. Alternatively, you can search for and locate assets in the new Asset Information Management page using Oracle's smart search and filters. This feature uses Oracle Search Extension Framework to provide a powerful index-based search engine combined with Oracle's next user experience so you can quickly and easily perform full-text searches for assets across dozens of attributes.

To enable the asset Smart Search page, you must perform these setup steps:

  • Opt-in to the feature Use Smart Search to Search For and View Assets in the New Assets UI
  • Enable the Oracle Search Extension Framework to create indexes, ingest predefined indexes, and manage search capabilities:
    • Set the Enable/Disable Search Ext Framework (ORA_FND_SEARCH_EXT_ENABLED) profile option to Yes
    • Include your flexfields in your fa-alm-asset index definition:
      • Follow the Implementation Guide steps for Search Extension Framework to configure the index: fa-alm-asset.
    • Refresh your index with flexfield data
      • Make sure that you have the Manage Scheduled Job Definition (FND_MANAGE_SCHEDULED_JOB_DEFINITION_PRIV) privilege to run scheduled processes
      • Submit the ESS job to create index definition and perform initial ingest to OSCS process to create index definition and perform initial ingest to OSCS process for creating indexes and ingesting predefined indexes
        • Index Name to Reingest: fa-alm-asset
        • If you don't specify any index names while submitting the process, the process run for all predefined indexes
        • You can also submit the ESS job to create index definition and perform initial ingest to OSCS process if the index is already created and you want to ingest all your data again. This process clears the index and fully reingest the data.
    • Make sure that you have the Manage Scheduled Job Definition (FND_MANAGE_SCHEDULED_JOB_DEFINITION_PRIV) privilege to run scheduled processes
    • Submit the ESS job to create index definition and perform initial ingest to OSCS process to create index definition and perform initial ingest to OSCS process for creating indexes and ingesting predefined indexes
      • Index Name to Reingest: fa-alm-asset
      • If you don't specify any index names while submitting the process, the process run for all predefined indexes
      • You can also submit theESS job to create index definition and perform initial ingest to OSCS process if the index is already created and you want to ingest all your data again. This process clears the index and fully reingest the data.
    • For additional details on implementing Oracle Search Extension Framework, see the section entitled Search Extension Framework in the Search chapter of the guide Implementing Applications.
    • Note: If you are a US Government customer, don’t enable this Oracle Search Extension Framework and don’t enable the opt-in for this feature. You must use the Manage Assets page instead.
  • Routinely run the ESS job to run Bulk ingest to OSCS process to ingest asset updates from Manufacturing, Receiving, Inventory, Order Management, and FBDI. Create a scheduled process to ingest these updates at least once a day in order to keep your index up to date. You may want to schedule this process more frequently depending on your business needs. You can also run this job manually, as needed.
    • Program Name to run Bulk Ingest: IB_ASSET_BULK_INGEST
    • You can also manually submit theESS job to run Bulk ingest to OSCS process if the index is already created and you want update your index before the next scheduled process.
    • The ESS job to run Bulk ingest to OSCS process doesn’t clear out the index. It only updates the existing index with the changes from Manufacturing, Receiving, Inventory, Order Management, and FBDI.
    • For additional details on setting up scheduled processes, see the section entitled Submit Processes in the Scheduled Processes chapter of the guide Using Common Features.
  • Ensure that you have the appropriate privileges.
    • Users who are assigned a configured job role that contains at least one of the these privileges can view or manage maintenance assets in the Asset Information Management page:
      • Manage Maintainable Assets (MNT_MANAGE_MAINTAINABLE_ASSETS_PRIV)
      • View Maintainable Assets (MNT_VIEW_MAINTAINABLE_ASSETS_PRIV)
    • Users who are assigned a configured job role that contains this privilege can export assets in the Asset Information Management page:
      • CSE_EXPORT_ASSET_DETAILS_PRIV
    • Users who are assigned a configured job role that additionally contains this privilege can export assets meters in the Asset Information Management page:
      • MNT_EXPORT_ASSET_METER_READING_DETAILS_PRIV
    • Users who are assigned a configured job role that contain the privileges described in the Implementation Guide content for Search Extension Framework will be able to define which attributes, including descriptive flexfield segments, are included in the fa-alm-asset index.

After you enable the opt-in for this feature, set up your index, and ensure you have the appropriate privileges, you can launch the new Assets page using the Asset Information Management link under the Supply Chain Execution group. The existing Manage Assets page can still be accessed via the Tasks pane of the Maintenance Management work area.
