How You Report a Resource Transaction

The report resource transaction feature enables you to charge a maintenance work order for the resources used in the operation. You can charge a resource to the maintenance work order operation and reverse the charges made earlier for a resource to the maintenance work order operation. Both charging and reversal are recorded as two separate transactions.

Resource transactions are reported using several different methods:

  • For resources with a charge type of Manual, you will report them directly from an operation result row in the Dispatch List using the icon in the report resources column, using the icon entitled Manual Reporting Required
    • Resources must be manually reported for an operation step if a predefined item has a resource charge type of Manual. This means the resources are optional and if charged in the operation then they must be manually reported. This reporting should be performed prior to operation completion.
      • If one or more resources are set as type Manual, then the icon in the resource column of the Dispatch List operation results rows will display an icon that indicates Manual reporting required. Else, no icon is displayed indicating that Manual reporting not required.
      • Clicking the icon will render the Report Resource Transactions page with a list of resources which will require reporting if they are used. Enter the quantity for each resource as required, as only those resources with a quantity defined will be transacted during operation completion
    • No icon will be displayed in the circle region in the resource column of the Dispatch List operation results rows. However, clicking the circle will render the Report Material Transactions page with an empty list of resources, as none were defined with a charge type of Automatic. You can optionally create new resource transaction rows as well prior to work order completion.
      Note: The page will not display any resources with a charge type of Automatic, as they can only be viewed in the Complete with Details flow.
  • For resources that do not have a charge type of Manual, and do not require any additional details, then you can automatically report them using the Quick Complete action
    • You can use the quick complete method to create the operation transactions in just two clicks. This mode can be used only if the maintenance work order has all the necessary data for the transaction and the transaction doesn't require any additional inputs. You can use the quick complete mode to create multiple operation transactions in one transaction cycle.
      Note: The Quick Complete button is disabled if the work order has a mandatory inspection plan, or when you have materials serialized or lot control materials with supply type with operation pull or assembly pull.

  • For resources with a charge type of Automatic, which require additional details, then you can only report them using the Complete with Details action
    • You can use this method when the transaction requires you to review and update the transaction data, such as materials consumed, resources charged, or even meter entry is required.
    • You can also use this method to provide the additional details for the transaction, such as lot and serial information for the components, supply sub-inventory details for the components, and so on.
    • This method requires navigation through multiple pages, known as train stops, providing you the flexibility to update the transaction data that's derived from the work order.
      Note: The Complete with Details button is disabled for work orders with a mandatory inspection plan until you enter inspection results for the work order.

  • For reporting resources outside of the Dispatch List, then you can report by Work Order and Operation Sequence directly from the Maintenance Management landing page. There is a task under Execution entitled Report Resource Transactions.

Charging Resources to the Work Order Operation

You can charge a work order operation for the labor and equipment resources that are consumed while performing the operation. The consumed resources can be the resources that are set up in the work order operation or any other additional ad hoc resources that are consumed during the operation. Select the Transaction Type as Charge for charging the resources. If the Basis is set up as Fixed, then the resource appears only during the first transaction of the work order operation. At first, the manual charging is checked. The net charged quantity must be zero for the resource in the work order operation with Basis attribute as Fixed. If the net charged quantity isn't zero, then the resource isn't shown.

The equipment profile is validated when reporting an equipment resource. When reporting equipment resources, the system will enforce an entry of a qualified equipment resource instance. The resource transaction date is used to validate whether the resource instance possesses a valid qualification on this date. You can't proceed with an unqualified equipment resource instance or without specifying a resource instance and need to assign a qualified equipment resource instance to complete the transaction.

Reversing Resources Charged to the Work Order Operation

If a resource is charged by mistake, it can be reversed with another transaction of type Resource Reverse. Select the Transaction Type as Reverse for reversing the charged resources. If the Basis is set up as Fixed, then the resource appears only during the last transaction of the work order operation. For the last manual reverse, the quantity for resource in the work order operation must be zero in all the dispatch states except for Ready. And there must be some previously charged quantity that must become zero for the resource after the transaction.

Manually Adding Resources for Reporting

You can add resources for the work order operation by clicking the Add icon. A new row is created where you can add the details for the resource.

The following are the attributes for manually adding the resources to the work order operation for reporting.

Indicates the status of the entered record.

Sequence

The operation sequence in which the resource is defined.

Resource

The resource being added for reporting. The field lists values that are concatenation of resource code and resource name.

Type

The type of resource as defined in the work order resources or in resource definition.

Activity

The resource activity as defined in the work order resources or in resource definition.

Basis

The basis type as defined in the work order operation for the resource. For the manually added resources, the basis is always Variable.

UOM

The unit of measure as defined in the work order resources or in organization item definition.

Required

The required quantity as defined in the work order resources.

Previously Charged

The quantity of the resource that's already charged to the work order operation.

To Charge

The quantity is set to the quantity specified in the Required attribute.

Resource Instance

Name of the resource instance.
