How You Import and Export Assets

Oracle Maintenance enables you to create and update assets in bulk using a File-Based Data Import and Export process.

How You Import Assets

The Installed Base Assets Import is used to:

  • Create and update an asset record and its core attributes. This includes values of asset definable flexfields.

  • Create, update, and delete the asset parts list.

  • Create, update, and delete asset charges.

  • Create, update, and delete asset associations to a group.

Note: Assets can’t be created with a location type of Inventory. These assets can only be created using Purchasing and Inventory Management processes with use integration and orchestration flows for the creation of assets. Examples are purchase order receipt and miscellaneous receipt.

Purge Batch Data from Maintenance Import Interfaces

The upload or import of data may result in a warning or error status sue to issues with the data. When this occurs, the data can't be further processed from the interface tables. In such a case, the Asset Administrator can run the Purge Maintenance Records from Interface process to delete the asset data from the interface tables from all or just a specific import process. The scheduled process can be run on demand or setup on a schedule as required by your business processes.

How You Export Assets for Mass Editing

On the Manage Assets page or the Asset Information Management page, you can search for a range of assets and export them for mass edits. Then, using the standard upload process, you can import the edited records using the latest spreadsheet.

Exporting Assets from the Manage Assets page

In the Manage Assets page, search for a range of assets for mass editing, then click the Export Assets icon at the search header, to open the Asset Export Parameters dialog box with these options:

  • Include asset charges: the exported file will include asset charge details.

  • Include child assets: the exported file will include child assets for the parent assets returned in the results.

  • Include part list components: the exported file will include parts list details for each asset.

Click OK to generate the Export Assets scheduled process job with a reference number. When the job is successfully completed, an output file in Excel format is created to closely match an asset's File-Based Data Import format. You can click the file name, called Default Document, to download the output file to your desktop for further editing.

Exporting Assets and Asset Meters from the Asset Information Management page

In the Asset Information Management Page, search for assets you want to mass edit then click on the Export icon above the results table to open a drawer from which you can select Export options.

If you export assets, you will also be able to export the following:

  • Asset charges: The exported assets file will include asset charge details.
  • Child assets: The exported assets file will include child assets for the parent assets returned in the results.
  • Part list components: The exported assets file will include parts list details for each asset.

If you export asset meters, you will also be able to export the following:

  • Child assets: The exported asset meters file will include the meters for the child assets of the assets in your search results.

You can export both assets and asset meters at the same time.

Click the Export button in the drawer to generate the Export Assets and Assets Meters scheduled process job. You will see a toast notification with the process number. Depending on which export options you selected, the Export Assets and Assets Meters process schedules one or two of the following child processes:

  • Export Assets
  • Export Asset Meters

You can find these child processes by using the hierarchy view in the Scheduled Processes page. When the child jobs are successfully completed, an output file in Excel format is created to closely match an asset's File-Based Data Import format for each child process. You can click the file name, called Default Document, to download the output file to your desktop for further editing.

Mass Editing Exported Assets

After exporting assets and downloading the file from the scheduled process, you must then copy and paste this data into the latest asset import spreadsheet for your release. In this file, you define the import batch details, update key fields such as the action required for the asset, as well as editing key data attributes as part of the mass edit.

After editing is complete, you can follow the normal import process to make the updates to the asset records.

Note: You can't edit the exported spreadsheet and upload it. You must copy and paste the details into the latest upload spreadsheet.
