Manage Credit Cards on Sales Orders

Add and manage the credit card that you use on each sales order.

Adding a credit card is optional, depending on how your Order Administrator sets it up.

Try it.

  1. Create a sales order, then set the Customer, Business Unit, and Bill-to Account on the order header.

    The values you set for these attributes affects the credit cards that you can add to the sales order. You must set them before you add the credit card.

  2. Click Billing and Payment Details, then set the value.

    You can use only one payment method for each sales order. You can't use Credit Card and On Account on the same sales order.

  3. Notice the information that the Payment Details area displays.

  4. Use the default value, or select a new value in the Credit Card attribute to select a different card.

    Number on the credit card that the issuing bank provides.

    This is typically a 16 digit number, in the format XXXX XXXX XXXX XXXX, such as 7684 5980 8456 1156.

    Name on Card

    Name of the cardholder, usually the person or company who purchases the item, such as Computer Service and Rentals.

    Statement Billing Address

    Physical mailing address where the issuing bank sends statements for the credit, such as 301 Summit Hill Drive, Denver, CO, 80014.

    Voice Authorization

    An option that indicates that you got authorization to use the credit card for this sales order, typically on a phone call with the person or company that processes the credit card transaction, such as the bank that issued the credit card.

    Voice Authorization Date

    Date when you received authorization to use the card.

    Use the date picker to make sure you use the correct format.

    Voice Authorization Code

    Abbreviation that identifies the authorization.

    Get this value from the organization that processes the credit card transaction, which is typically the bank that issues the credit card, such as JPMorgan Chase Bank for a Visa card purchase.

  5. If you can't find the card you need.

    • Click Create Credit Card.

    • In the Create Credit Card dialog, enter values, then click Pay-PS.

    • In the Payment Details Area, set the Credit Card attribute to the card you just created.

      Order Management associates the new card with the business unit that you set on the order header.

      You can't delete a new card that you create, but you can disable it.

  6. Add your order lines, then click Submit.

    Order Management communicates with Oracle Financials, who in turn communicates with the issuing bank to make sure the credit card hasn't expired and doesn't exceed the credit limit. If the card doesn't meet these requirements, then Order Management doesn't allow the submit, and you must revise the order.

    If the issuing bank approves the purchase, then the bank adds the transaction to the credit card account and Order Management fulfills the sales order.

Override Credit Card on Order Line

You can use a card on each order line that's different from the card on the sales order. You can use different cards on different order lines.

  1. Create a sales order, set the Payment Method attribute to Credit Card, then add an order line.

  2. Click the Billing and Payment Details tab.

  3. In the Order Line Details area, click Actions > Override Order Line.

  4. In the Override Order Line dialog, click Change Credit Card.

  5. In the Payment Details area, select another card or create a new one, then click OK.
