Change Policy

Here’s what you can configure from the Policy tab of a change type.

Number Generation Method

  • Sequence Generated: You can provide the Prefix, Starting Number, Increment, and Suffix for change order numbers for the change type.
  • Rules Generated: The user must associate a configured rule set, which creates change numbers in the sequence defined in the function.
  • User-Defined: Define your own number generation methods.

Item Effective Date

Specify how many days after change order creation the item changes should become effective. Or, specify that the changes become effective immediately after the change order is approved. This option sets the default item effective date when a change order is created, which can be modified before the change order is submitted. If the effective date for an item is empty, the item change becomes effective immediately upon approval of the change order.
Note: It's the effective date of the specific items in a change order that decides their production effectivity, not the item effective date for the change order, which is used to set the default effective date of affected objects (or change lines) in the change order.

Autocomplete on Cancel

Update 23A onward, the Autocomplete on Cancel option for the change type is enabled by default. So, a change order in the scheduled state automatically moves to the completed state if the last change line is canceled manually. Note that all change lines must be either canceled or completed for the change order to move to the Complete or Canceled status.

This is applicable to both new and in-progresses change orders.

Note:

  • For a change order to move to the completed status on cancellation of the last change line, at least one change line must be in the completed status.
  • If all the change lines in a change order are in the canceled status, then on cancellation of the last change line the change order would be canceled.

Mandate Comments Before Removing Participants

You can choose a commenting option to enforce, allow, or prevent entering of comments when users remove workflow participants. You can remove participants:

  • for a future change status,
  • for the current change status, and
  • while routing the change to an approval status.

Here are the commenting options:

  • Required: Enforce users to enter comments.
  • Optional: Make it optional for users to enter comments.
  • Not Applicable: Don’t provide an option to enter comments.

Assignee Role and Default Assignee

You can configure a default assignee for a change type. This assignee is inherited by changes created from the change type. For example, change orders, change requests, problem reports, and corrective actions.

For change orders and requests, the default assignee is likely a change analyst.

For problem reports and corrective actions, the default assignee is likely a quality analyst. The default assignee is notified about status changes and approvals to keep the object on track.
Note: If you're configuring the change type for supplier portal users, it's recommended to select a default assignee. Otherwise it could result in stuck change orders.

Here are the possible ways of configuring an assignee in the change type:

  • Select only the default assignee. Later, you can modify the assignee while creating the change such as change order.
  • Select a role and an assignee within the role as the default assignee. Later, you can modify the assignee while creating the change.

You can modify both role and assignee when the change is in draft and open statuses. Note that:

  • You must provide the Manage Assignee privilege and also the permission to manage change header attributes (defined in the Additional Workflow Controls table in change type setup).
  • It's recommended that you grant the creator and the requester the ability to edit the change header attributes during Interim Approval and Approval statuses. This will allow them to modify the assignee in case the current assignee becomes unavailable during these statuses.

Priority

You can set the default priority for the change type.

Reason

Select the default reason for the changes created from the change type.

Attachment Categories

For the attachment categories to appear for selection in the Attachments tab of a change in Product Development, you must first create them and associate them to a change type in the Setup and Maintenance work area.
