Detailed Reservations for Purchase Orders, Work Orders, and Transfer Orders

You can create detailed reservations for customer orders for items using the back-to-back process, or orders where you manually reserve the incoming supply (like the purchase order, transfer order, or work order) to the sales order.

Doing this ensures that the actual goods you make or procure with the supply order are used to fulfill the demand, and your customer gets exactly what they ordered. You can also ensure that items stay tied to an order after they enter inventory.

You can detail item reservations to these levels:

  • Subinventory

  • Locator

  • Revision

  • Lot

  • Serial

  • Project

  • Task

Note: You can reserve a project-based demand to project-based supply and to non-project based supply if the Allow Use of Common Suppliers option is set to null or Yes for an item.

After the goods are completed or received, the reservation adjusts from the incoming supply document to the on-hand quantity at the most detailed level possible. Items not using lot or serial control are detailed to the subinventory and locator level, while lot or serial-controlled items are detailed to the subinventory, locator, and lot or serial level. If using project-driven supply chain processes, the project and task attributes are included in the reservation as well.

Note: If the sales order is manually reserved to on-hand inventory after the supply document is received or completed, the reservation isn't automatically updated.

You can review the serial numbers reserved to a sales order by clicking the Record Serial Number Information button on the Create Reservations page. This opens the Serial Numbers window that shows all serial numbers reserved to the sales order.

Let's look at reservation examples for these supply types:

  • Purchase order

  • Work order

  • Transfer order

Purchase Order

For purchase orders, you can perform a detailed reservation for sales order to on-hand inventory when the purchase order is delivered. The application transfers the reservation of the sales order to the purchase order when the purchase order is returned or corrected. The application also updates serial numbers associated to the reservation on the return or correction of the purchase order.

A sales order for a procured item is reserved to a purchase order for an item that's lot, serial, and revision controlled for a quantity of 10.

After purchase order is delivered

After the purchase order is received and delivered for the quantity of 10, the reservation is detailed to:

  • Subinventory SUB1

  • Locator L1

  • Revision A

  • Lot1

  • Serials S001 to S010

After purchase order is returned or corrected

When the purchase order is returned for a quantity of 2 for serials S001 and S002, the reservation is transferred back to the purchase order for a quantity of 2, and the reservation for the on-hand document type is updated from a quantity of 10 to 8.

If you click on the Record Serial Numbers Information button on the Create Reservations page, the Serial Numbers window shows the update. The serial numbers S001 and S001 have been removed from the sales order reservation.

Work Order

For work orders, you can perform a detailed reservation of a sales order to on-hand inventory when the work order is completed. The application transfers the reservation of the sales order to the work order when the work order product is returned. The application also updates the serial numbers associated to the reservation upon the work order product return.

A sales order for a manufactured item is reserved to a work order for an item that's lot, serial, and revision controlled for a quantity of 10.

After work order is completed

After the work order is completed for the quantity of 10, the reservation is detailed to:

  • Subinventory SUB2

  • Locator L2

  • Revision A

  • Lot2

  • Serials S101 to S110

After work order is returned

When the work order is returned for a quantity of 2 for serials S101 and S102, the reservation is transferred back to the work order for a quantity of 2, and the reservation for the on-hand document type is updated from a quantity of 10 to 8.

If you click on the Record Serial Numbers Information button on the Create Reservations page, the Serial Numbers window shows the update for the work order return. The serial numbers S101 and S102 have been removed from the sales order reservation.

Transfer Order

For transfer orders, you can perform a detailed reservation of a sales order to on-hand inventory when the transfer order is delivered. The application updates the reservation when the transfer order is returned back to the source organization. The application also updates the serial numbers associated to the reservation upon the transfer order return.

After transfer order is delivered in destination organization

After the transfer order is received in the destination organization for the quantity of 10, the reservation is detailed to:

  • Subinventory SUB3

  • Locator L3

  • Revision A

  • Lot3

  • Serials S201 to S210

After transfer order is returned back to source organization

When the transfer order is returned for a quantity of 2 to the source organization for serials S201 and S202, the reservation for the on-hand document type is updated from a quantity of 10 to 8.

If you click on the Record Serial Numbers Information button on the Create Reservations page, the Serial Numbers window shows the update. The serial numbers S201 and S202 have been removed from the sales order reservation.
