Considerations for Transferring An Asset To Another Organization

You can update the operating organization of an enterprise or customer asset to transition it between organizations. This is helpful when an asset physically moves locations or is maintained by another maintenance-enabled organization. If an asset is in an inventory location, then it can't be moved by updating the operating organization. First, move the inventory to the new location and then update the asset's operating organization.

Note: You need to have inventory organization access to a location in order to transfer an asset. Additionally, if the organization is not maintenance-enabled, set up an organizational relationship to maintenance-enabled.
Here are some additional considerations for maintenance work orders when you transfer an asset to another organization:
  • Open maintenance work orders don't move because they're organization specific. They remain open and you must execute them in their organization only or cancel them.

  • You can't search for the complete work order history of an asset on the Manage Work Orders page because it's organization specific. Alternatively, review the Transactions tab on the Edit Asset page and leverage OTBI for access cross-organization work order history.

  • Cost history is organization specific. Use the Costs tab on the Edit Asset page and leverage OTBI for access cross-organization work order cost history.

  • Asset meters aren't organization specific, so no impact.

  • Preventative maintenance programs traditionally don't move with an asset as they're organization specific. However, if a program is enabled for assets across organizations, then updating an asset’s operating organization will be considered when the forecast is generated and recreated for future due dates. Therefore, if an asset is expected to transfer to another organization during its lifetime, then it should be forecasted in a program that supports assets across organizations. Else, the forecast in a program will stop when an asset transfers to another operating organization.

  • Parent and child assets must be in the same organization, so both must move together.
