What happens when I add a new user to a role that's assigned to an ongoing definition task?
Let's say that a new item request is in the definition phase. The definition task is assigned to a role that has multiple users, and the task isn't claimed by any user.
You add a new employee as a new user in the role (which is assigned to the task). Here are answers to questions you may have.
Does the new user receive any notification immediately?
No.
Can the new user claim the definition task immediately?
No.
How does the new user claim the definition task?
You must demote the new item request and promote it again to the definition phase. All users receive notification about the definition task. The new user can claim the task from the notification.
What happens if a user quits the organization after claiming all tasks in multiple new item requests?
This results in a stuck workflow. But you can resolve this by demoting new item requests and promoting them again to the definition phase.
Note:
You can't release or reassign the definition task to another user even if the user has the claim task role.
