Configure Guided Task Flow for Mass Replacement of Approvers or Assignees

You can configure the steps for performing a mass replacement of approvers or assignees.

Prerequisites:

  • Set the profile options.
  • Run the scheduled process job to create index definition and perform initial ingest.
  • Make sure that an employee record is associated with the user.

Set Profile Options

  1. Use the Manage Administrator Profile Values task in the Setup and Maintenance work area to review and configure the profile options provided in the table.

Enable Oracle Search for Journeys for My Journeys, Team Journeys, and Organization Journeys pages.

Enabling this profile option will display Team Journeys and Organization Journeys tabs instead of the existing Assigned Journeys tab.

ORA_PER_CHK_ORACLE_SEARCH_DIRECT_INGEST_ENABLED Direct Uptake of Data for Oracle Search in Journeys Enabled Enable direct uptake of data for Oracle Search in Journeys. This profile option enables direct ingestion during UI operations instead of the default near real time ingestion. This only affects incremental ingestion during any updates happening in the UI. The ingestion bypasses the queue and is directly done on the index which guarantees the elastic-based journeys UI to show latest data immediately. Site Y

Run the Scheduled Process

Run the scheduled process ESS job to create index definition and perform initial ingest to OSCS with the Index Name to Reingest parameter set to the appropriate index for the feature. Run this process for the following indexes:

  • fa-hcm-workerjourney
  • fa-hcm-workerjourneytask
  • fa-hcm-acl

Configure Distinct Guided Task Flows

You can create distinct guided task flows by copying and editing the predefined tasks to create your own task.
  1. Select Configure Guided Tasks in the Product Management Experience panel tab.
  2. On the Configure Guided Tasks page, click Create.
  3. In the New guided Task drawer, enter the following:
    1. Category: Category of the guided task flow. Select Replace Workflow Participants.
    2. Name: Enter a name for the guided task flow.
    3. Code: Is autogenerated from the Name field.
    4. Archive after how many months?: Allows guided task flows that hasn't started to be archived. The default value is 12.
  4. Click Create Draft.

    The task flow details page is displayed, where you can provide the following information:

    • Basic details
    • Background image
    • Configure criteria
    • Tasks
  5. Click Activate to activate the guided task flow. Only if the guided task flow is activated, users can run the task flow.

Add Basic Details

Click the Edit Basic Details icon and provide the following information.

Attribute Description
Template title Administrators can change the journeys title from the default.
Template subtitle Administrators can change the journeys sub title from the default.
Description Enter a description for the guided tasks.
Display Name Format on Template Card Specified format controls the card title
Purge after how many months? This is standard for guided task flows and allows the removing the guided task flows that are activated but not started by users.

You can also change the following attributes: Name, Code, Description, and Archive after how many months.

Click Save after entering the required information.

Add Background Image

Click Add, upload a background image, and click Save. The recommended image size is 2 MB.

Configure Criteria

To add attributes, select the attribute and the value, and then click the Submit icon in the Action column. The attribute is added as a row. To delete an attribute, select all or the required attributes and click Delete.

Add Tasks

To add a task for a guided task flow:

  1. In the Tasks section, click Add.

    The New Task drawer appears.

  2. Specify the following information.
    Attribute Name Description
    Task Name Name of the task
    Task Description Description about the task.
    Status Indicate whether the task in Active or Inactive
    Sequence Select the order of the task.
    Code Code is autogenerated from the Task Name field.
    Make this task mandatory Always set as No.
    Add instructions for this task Provide details about the task.
    Task Type

    Select one of these options: Document, External URL, Manual Task, or Video.

    Task URL If the task type is external, then the user enters a URL in the box. When the guided task flow is run and task is launched and the task displays the content for the URL.
    Open URL on the same page Opens the task URL in the same page instead of opening in a new browser tab.
    When does the task expire? Indicates the date when the task expires. Use the default value that's displayed.
    After how many days? Indicates how long the task will be available to the user who will run the guided task.
  3. Click Save.

    The task is added to the Tasks section. Repeat the step to add more tasks.
