New Item Request Notifications

You can review, approve and reject workflow requests in both the in-app and email notifications for new item requests.

Approval Notifications

Note: To use this feature, you must opt in to the feature Redwood: Use Redwood-Style Approval and Review Notifications.
Here are the attributes that are displayed in the new item request approval notifications:
  • In the Details section:
    • New Item Request Number: Link which opens the NIR details in a new page.
    • Approval Status
    • Activity Type: It’s either optional approval or approval.
    • Expiration Date: Date when this approval request will expire.
    • Response Required From: Requires response from one assignee or from all the assignees.
  • The Line items section includes the new item number, item description, item class, effective date, and item status

FYI Notifications

Note: To use this feature, you must opt in to the feature Redwood: Use Redwood-Style FYI Notifications.

New Item Request FYI Notifications

Here are the attributes supported in the New Item Request FYI Notification (excludes Send Objects Notification):

  • In the Details section:
    • Object Number: Link that opens the change details in a new page, depending on your profile option.
    • Object Description
    • Approval Status
    • Need-By Date
    • Priority
    • Reason
    • Comments: This is conditional. Comments provided by you're displayed only when the object is approved, deleted, rejected or canceled.
    • <Rejected/Approved/Removed/Canceled> By: User who made the action.
    • Reject Reason: The reason is shown only when object is rejected.
  • The Tasks section: includes task name, description, Required, Start-by Status, Complete Before Status, Task Status, Assigned To, Need-by Date, Assigned By, Assigned On. This is shown only in Task Assigned Notifications.
  • When promotion fails, the Message section displays the following message: Error in workflow, see object action log for more details.

Send Object FYI Notifications

Let's look at the attributes in the Send Object FYI Notifications.
  • In Contents section:
    • Object Type
    • Sent By
    • Recipients
    • Object Number or Object Name
    • Notification Type
    • Message: Message displays the comments you've provided when you send the notifications.

Assigned Notifications

You can now view the details in Assigned Notification. Click the link in your notification to review the details, or review the details in your email notification.

Here are the details that are available in the Assigned Notification:
  • In the Details section:
    • Object Number: Link that opens the change details in a new page, depending on your profile option.
    • Object Description
    • Assignee
    • Assigned Date
    • Approval Status
    • Need-By Date
    • Priority
    • Reason
    • Task Number
  • The Affected objects for Item (for New Item Request) section: includes the Affected Item Number, Item Description, Item Class, Effective Date, Item Status, Status, Request Id.
Important Considerations
  • After you've opted in, the application automatically uses the new predefined Oracle Analytics Publisher Template:
    • Workflow Notification Report
    • Workflow Item Send Notifications Report
    • Send Object Notification Report
    • Workflow Send Object Notification Report
  • To display additional attributes in the notification, you must configure the new predefined template.

Requires Comment Notifications

You can view requires comment notifications for new item requests when the status changes from draft to open and the Skip Request Comment option (on the new item request type) is deselected. This is supported in both the in-app and email notifications.

Once the comment is submitted, an FYI notification with task completion details is sent to the assignee. Depending on the configuration, new item requests can be moved from open to the next status either automatically or manually.

Here are some details:

  • To use this feature, you must opt in to the feature Redwood: Use Redwood-Style Comments Required Notifications.
  • Once you opt in, the application will automatically use the new predefined Oracle Analytics Publisher Template: Workflow Required Comment Notification Report.

The following attributes are available in notifications:

  • Organization
  • Object Number: Link that opens the change details on a new page
  • Description
  • Assignee
  • From: Only appears when an action is required
  • Assigned Date
  • Outcome: Only appears when a task is completed
  • Approval Status
  • Need-By Date
  • Task Number
  • Priority
  • Reason

Definition Required Notifications

You can receive definition required notifications in the new format for new item requests when you’re the assignee. This is supported in both the in-app and email notifications.

Here are some details:
  • To use this feature, you must opt in to the feature Redwood: Use Redwood-Style Definition Required Notifications.
  • After you opt in, the application automatically uses the new predefined Oracle Analytics Publisher template. You don't require any other action to enable this notification.
  • You must navigate to New Item Request definition page to review task details and update the details.
  • The Add comments and Add attachments are only recorded on the definition notification, they aren't recorded on the new item request object.

In addition, you’ll also see the following attributes in notifications:
  • Item Number
  • Task Status

When the number of new items that require definition exceeds 25, you'll see a More Items link. Click the More Items link to view the complete list of items and tasks.

When the definition task is completed, you'll receive a task completed notification.
