Scheduling
The Scheduling tab helps you view upcoming work orders, identify resource requirements, and assign technicians to work orders more efficiently. The page includes two views: Work Orders and Resources. You can toggle between the two views using the view by search chip. The search and the search results are based on the selected organization, which can be updated using the option at the top of the page.
Work Order View
This view provides a list of work orders on the left side, while displaying their details and duration in the Gantt chart region to the right. The results are initially viewed using a Start Date set to the current day, while being sorted by the work order number. You can use the page toggle to change the period from Day, Week (7 days) or Month (31 days) time periods, from the Start Date. Additionally, within the chart, you can also use the + and – icons to adjust the timeline to zoom in and out.
The keyword search can be used to filter the results by Work Order number or description, or by Asset number or description. You can then use these filter chips to further refine the results:
- Start Date (required)
- Work Center
- Resource
- Status
- Priority
- Work Order type
- Work Order subtype
- Asset work center
The chart provides a good overview of the resource load and work order operations by day and hour. You can select a work order row on the left side results and drill into its details, revealing the operation sequences and resource names required over the selected period. You can also hover over the colored lines in the chart to provide additional details. The line colors represent resource assignment status. White lines represent either no resources defined or not all are assigned, while dark shaded lines represent that all resources have assignments.
When hovering over a work order line, you right-click to reschedule a work order. This renders the Reschedule Work Order drawer. The drawer allows you to optionally select a new Start Time (and Date) for the work order. After you submit, the work order and all operations are rescheduled, and the Gantt chart refreshes.
When hovering over a resource line, you can right-click to assign a technician (resource instance) or view current assignments. This renders an Assignment drawer. The drawer shows matching technicians for the selected resource and work center. You can click a technician and assign or unassign from the operation. No restriction on number of technicians you can assign.
Resources View
This view provides a list of technicians (resource instances) on the left side of the screen, while displaying their details and duration in the Gantt chart region to the right. The list of technicians is for the contextual organization, regardless of any assignments to an operation resource. You can view their assignment duration on the chart for the selected period. This provides a good overview of the resource load and work order operations by day and hour. If a technician is double booked, or has overlapping work, you can check other technicians' availability.
When hovering over a resource assignment line, you can right-click to view the assignment details. This renders an Assignment drawer. This renders an Assignment drawer. The drawer shows technicians that match skill set for the selected resource and work center and their assignment status. You can click and assign or unassign a technician from the operation. This allows you to quickly re-assign work to another available technician. After all technicians are unassigned from a resource row, it no longer appears in the results region. Return to the Schedule view, search for the work order, and assign resources there as needed for an operation.
If you need to perform assignments for multiple work orders, use the Assignments tab.
Resource Assignment Scheduled Process
After you schedule work orders over a near-term horizon, you can optionally assign resource. This process has been traditionally very time consuming, requiring you to edit each work order and assign resource instances at the individual operation resource level. Using the Schedule tab, you can more efficiently find and assign resources to work orders. However, this can still be a time-consuming process for large organizations or numbers of work orders. To help with the assignment of resources you can optionally use a scheduled process, as described in the Enable Work Orders Scheduling and Resources Assignment topic of the implementation guide, to automatically assign resources to your work orders.
