Notifications

You can view notifications for change orders, change requests, problem reports, and corrective actions. You can review, approve and reject workflow requests in both the in-app and email notifications.

Here are the notification types:

  • Approval and Review
  • FYI
  • Requires comment

Approval and Review Notifications

The following attributes are available in all notifications:

  • Organization
  • Description
  • Assignee
  • From
  • Assigned Date
  • Task Number
Note: To use this feature, you must opt in to the feature Redwood: Use Redwood-Style Approval and Review Notifications.

Change Approval Notifications

Here are the attributes shown in change approval notifications:

  • In the Header details section:
    • Change Number: A link that opens the details of the change order in a new page.
    • Requester Comments: Comments submitted by the requester.
    • Activity Type: An optional approval or approval notification.
    • Response Required From: Response required from either one assignee or from all the assignees.
    • Expiration Date
    • Approval Status
    • Sign Off As: The assignee is either an individual or part of a role.
  • The Line details section has two parts:
    • Affected Objects that includes the affected item number, item description, the old and new revisions (if changed) of the item and the old and new lifecycle phases (if changed) of the item.
    • Impacted Products that includes the impacted item number, item description, item revision, item lifecycle phase, and the number of affected objects.
      Note: Impacted Products are shown only in Change Order notifications.

Review Notifications

Let's look at the attributes shown in the review notifications:
  • In the Details section:
    • Change Number: A link that opens the change details in a new page.
    • Comments: Comments submitted by the requester.
    • Priority
    • Reason
    • Change Status
  • The Affected Objects section includes the affected item number, item description, the old and new revisions (if changed) of the item, and the old and new lifecycle phases (if changed) of the item.
Important Considerations
  • To include configured attributes, you've to reconfigure your Oracle Business Intelligence Publisher (BIP) notification using the new template and add your preferred attributes.
  • After you opt in, the application uses the newly configured BIP template:
    • Change Order Participant Notification Report
    • New Item Request Participant Notification Report
  • To display additional attributes in the notification, you've to configure the new template.

FYI Notifications

The following attributes are available in notifications:

  • Organization: when applicable
  • Object Number or Object Name
  • Status of the notification
  • Assignee
  • Assigned Date
  • Task Number: when applicable

Change FYI Notifications

Here are the attributes supported in the Change FYI Notifications

  • In the Details section:
    • Object Number: Link that opens the change details in a new page, depending on your profile option.
    • Object Description
    • Approval Status
    • Need-By Date
    • Priority
    • Reason
    • Comments: This is conditional. Comments provided by you're displayed only when the object is approved, deleted, rejected or canceled.
    • <Rejected/Approved/Removed/Canceled> By: User who made the action.
    • Reject Reason: The reason is shown only when object is rejected.
  • The Affected Objects for Change section: includes the Affected Item Number, Item Description, Item Class, Effective Date, Item Status, Status, Request Id. This section isn't available in the Task Assigned Notifications.
  • The Tasks section: includes task name, description, Required, Start-by Status, Complete Before Status, Task Status, Assigned To, Need-by Date, Assigned By, Assigned On. This is shown only in Task Assigned Notifications.
  • When promotion fails, the Message section displays the following message: Error in workflow, see object action log for more details.

Send Object FYI Notifications

Let's look at the attributes in the Send Object FYI Notifications.
  • In Contents section:
    • Object Type
    • Sent By
    • Recipients
    • Object Number or Object Name
    • Notification Type
    • Message: Message displays the comments you've provided when you send the notifications.

Assigned Notifications

You can now view the details in Assigned Notification. Click the link in your notification to review the details, or review the details in your email notification.

Here are the details that are available in the Assigned Notification:
  • In the Details section:
    • Object Number: Link that opens the change details in a new page, depending on your profile option.
    • Object Description
    • Assignee
    • Assigned Date
    • Approval Status
    • Need-By Date
    • Priority
    • Reason
    • Task Number
  • The Affected objects for Item (for New Item Request) section: includes the Affected Item Number, Item Description, Item Class, Effective Date, Item Status, Status, Request Id.
Important Considerations
  • After you've opted in, the application automatically uses the new predefined Oracle Analytics Publisher Template:
    • Workflow Notification Report
    • Workflow Item Send Notifications Report
    • Send Object Notification Report
    • Workflow Send Object Notification Report
  • To display additional attributes in the notification, you must configure the new predefined template. Configuration is only available in change orders, change requests, problem reports, corrective actions, and items.

Requires Comment Notifications

You can view requires comment notifications for change orders, change requests, problem reports, and corrective actions when the status changes from draft to open and the Skip Request Comment option (on the change type) is deselected. This is supported in both the in-app and email notifications.

Once the comment is submitted, an FYI notification with task completion details is sent to the assignee. Depending on the configuration, change orders, change requests, problem reports, and corrective actions can be moved from open to the next status either automatically or manually.

  • Once you opt in, the application will automatically use the new predefined Oracle Analytics Publisher Template: Workflow Required Comment Notification Report.
