How Security Is Applied to the Audit Trail

This topic explains how security is applied when you view the audit trail using the Audit Trail for Measure Updates dialog box or Audit Trail of Measure Updates table.

You can use the Audit Trail for Measure Updates dialog box to view the audit trail from a cell in a pivot table for updates made in 23D and later. For more information, see the topic titled View the Audit Trail for Measure Data from a Cell in a Pivot Table.

You can use the Audit Trail of Measure Updates table to view the audit trail for updates that you made before and after you upgraded your software to 23D. For more information, see the topic titled View the Audit Trail of Measure Updates Table.

For information about the measures and update types for which the audit trail can be displayed, see the topic titled Overview of Viewing the Audit Trail for Measure Data.

Security for the audit trail is controlled through the following:

  • Data access sets that are created on the Administer Planning Security page in the Plan Inputs work area.
  • Filters that are set on the Measure Filters tab in the Selector Tool for the pivot table where the update is made.

For example, if a measure contains the Product dimension, the level in the measure filter could be changed from Item to Category level 1 that might not be accessible to some users.

Security for Audit Trail for Measure Updates Dialog Box

Security is applied to the audit trail that's displayed in the dialog box as follows:

  • User A updates the measure value for a member that User B can see. In this case, User B can see the audit trail for the measure update for the member.
  • User A updates the measure value for a member that User B can't see. In this case, User B can't see the audit trail for the measure update for the member.
  • User A updates the measure value for a member that User B can see. However, User B can't see another member at a lower or higher level of aggregation than the first member. In this case, User B can't see the audit trail for the first member.

Consider these examples:

  • In the first example, User A updates the Adjusted Shipments History measure for Category PC1 on 11-Jan-2025 to 500. This value is disaggregated to the members (Item 1, Item 2, and Item 3) of the category. When User A creates a pivot table for this example, data is displayed as follows:
Date Category Item Adjusted Shipments History
    11-Jan-2025 PC1 Item 1 200
    11-Jan-2025 PC1 Item 2 200
    11-Jan-2025 PC1 Item 3 100

User B doesn't have the permission to view information for Item 3.

When User B creates a pivot table to view the items, data is displayed as follows:

Date Category Item Adjusted Shipments History
    11-Jan-2025 PC1 Item 1 200
    11-Jan-2025 PC1 Item 2 200

In this case, User B can view the audit trail for the measure values for Item 1 and Item 2. User B can't see the row or audit trail for Item 3.

When User B creates a pivot table to view the category, data is displayed as follows:

    Date Category Adjusted Shipments History
    11-Jan-2025 PC1 400

The aggregated value for the measure pertains to Item 1 and Item 2. When User B tries to view the audit trail for the measure, in the row for the update, the information in the Previous Value and New Value columns is masked because User B doesn't have the permission to view information for Item 3.

  • In the second example, User A updates the Adjusted Shipments History measure for Item 1 on 12-Jan-2025. Item 1 belongs to Organization 1. When User A creates a pivot table for this example, data is displayed as follows:
Date Organization Item Adjusted Shipments History
    12-Jan-2025 Organization 1 Item 1 800

User B doesn't have the permission to view information for Organization 1. Therefore, in this case, User B can't view the row or audit trail for the organization and item.

Security for Audit Trail of Measure Updates Table

Security is applied to the audit trail that's displayed in the table as follows:

  • If a user has made the update displayed by a row and is viewing the table, then the values in the Previous Value and New Value columns are displayed.
  • If the user hasn't made the update displayed by the row and is viewing the table, then the values in the Previous Value and New Value columns are masked.

In this case, the user must click the Details icon for the row to open the Audit Trail Details dialog box. If the user has the permission to view information for the combination, then the previous and new values are displayed in the dialog box along with other information. If the user doesn't have the permission, an error message is displayed.
