Configure Guided Task Flow to Mass Assign Items to Organizations

To create and configure the mass assign items to organization process:

  1. On the Product Management page, in the Actions panel, click View all actions and then click Guided Tasks Configuration.
    The Configure Guided Tasks page is displayed.
  2. Click Create.
    The New Guided Task drawer appears. Here, you must provide the details for the guided task you're creating:
    1. Select the Category as Assign Items to Organizations.
    2. In the Name field, specify the task flow name for your specific business process. For example, Mass Assign - Frozen Desserts is a task flow name to be used to assign desserts to various organizations.
    3. After adding all the details, click Create Draft.
      The <Guided Task Name> Draft page is displayed in draft mode with a list of mandatory tasks. In this example, the guided task name is Mass Assign - Frozen Desserts. For the Assign Items to Organizations category,the mandatory tasks in the task flow are:
      • Select items to be assigned
      • Select the target organizations
      • Select structures
      • Review and submit
      • View item batch status
  3. Click the Edit Task icon for each task, populate the relevant fields, and click Save. After you’ve updated all the steps, click Activate to make the task flow available for your users. The details for each task are outlined in the next few steps.
  4. Update the Select items to be assigned task. In this task, you specify the master organization from which the items must be selected for assignment. You can also specify filters such as Item Class, Catalog, and Category.
    1. Click the Edit Task icon for the Select items to be assigned task. From the Master organization drop-down list, select the master organization from which you want to select the items. This is mandatory.
    2. In the Filter configuration section, from the Attribute drop-down list, select an attribute and then specify the Values that will be used by the Guided Tasks to pre-select an item data set for your users.
      For example, if you select Item Class as a filter attribute and assign Frozen Desserts as its value, then the Guided Tasks will allow your users to select only the item set that belong to the Frozen Desserts item class. You can select multiple attributes to create a well-defined data set for your users.
    3. Click Save.
  5. Update the Select the target organizations task. In this task, you specify the list of candidate child organizations to which the items should be assigned to.
    1. Click the Edit Task icon.
    2. From the Select target organization drop-down list, select all the child organizations that are relevant to this task flow. This is mandatory.
    3. Click Save.
  6. Update the Select structures task. In this task, you specify the list of candidate item structures that can be assigned to. This step is optional.
    1. Click the Edit Task icon for the Select structures task.
    2. From the Select structures drop-down list, select all the structures that are relevant to this task flow.
      Note: When multi-level structures are assigned, assignment will include all levels.
    3. Click the Save.
  7. Update the Review and submit task. In this task, specify the task expiry days.
    1. Click the Edit Task icon.
    2. In After how many days? field, specify the number of days after which this task expires. This is mandatory.
    3. Click Save.
  8. Update the View item batch status task. In this task you specify the task expiry days.
    1. Click the Edit Task icon for the View item batch status task.
    2. In the After how many days? field specify the number of days after which this task expires. This is mandatory.
    3. Click Save.
  9. Click Activate to activate the task flow you've configured. After the task flow is activated, your users will be able access this task flow from the Guided Task flow library.
