Actions You Can Control

For a change type, you can define what actions participants can perform at each status in the workflow. You can also reorder the display sequence of actions that appear in the additional workflow controls table.

Based on your business requirements, you can allow or disallow actions for the following participant types:
  • Creator
  • Analyst
  • Requester
  • Other Users
  • Portal User
Note:
  • For tighter and enhanced security, set all actions for Other Users to No and instead add five specific roles for users who can access change types.

  • If you configure an Assignee Role in the change type, it’s recommended that you add the selected role (to the Additional Workflow Controls table) to allow assignees take action on the changes.

  • If you opt in to the feature Redwood: Enable the New Supplier Portal Home Page Experience, note that:
    The Additional Workflow Controls configured in the Portal User column as part of the change type setup will also be applicable on Redwood pages.
    • Supplier portal users can be granted a higher-level access by adding a new role and assigning permissions to that role through additional workflow controls.
    • Between the permissions in the Portal User column and the new role, the functionality that’s higher of the two will be applicable.

      For example, for the Promote Manually action, if the Portal User is set as No, and New Role is set as To next status, the portal user can promote the workflow to the next status. If you don't want the permission in Portal User column to be applied, you can set all actions in that column as No.

Assign Permissions for Each Action

  1. In the Setup and Maintenance work area, go to the following:
    • Offering: Product Management
    • Functional Area: Change Orders
    • Task: Manage Change Order Types.
  2. Select the change type for which you want to assign permissions and click Edit.
  3. Click the Workflow tab and select a status.
    • The additional workflow controls appear in the side panel.
  4. For each action, select the applicable permissions.
  5. Click Save.

Reorder the Display Sequence of Actions

Here's how you reorder the display sequence of actions.
  1. In the Setup and Maintenance work area, go to the following:
    • Offering: Product Management
    • Functional Area: Change Orders
    • Task: Manage Standard Lookups
  2. In the Lookup Type field, search for ORA_EGO_CO_WORKFLOW_CONTROLS, and expand Lookup Codes.
  3. In the Display Sequence column, you can reorder the sequence of actions.
  4. Save your changes.

Actions in Open Status

Here are the actions in Open status for creator, analyst, requester, other users, and portal user.
Note:
  • Participants include reviewers, optional approvers, and approvers.
  • Use the Manage Change Header Attributes action to allow or disallow participants from modifying the general information on a change.
  • You can only import and export configurable attributes that are listed in the Attributes tab for the predefined change types.
