Manually Check for Duplicate Candidates

You can use the Check Duplicates action to verify if a candidate is a duplicate of any external candidate, external contingent worker, ex-employee, or ex-contingent worker. You can start a duplicate check from the Candidate Search page, from within a candidate profile, a candidate job application, and a prospect record.

Before you start

You need these privileges:
  • Perform Candidate Duplicate Check and Merge (IRC_PERFORM_CANDIDATE_DUPLICATE_CHECK_AND_MERGE)

  • View External Candidate Sensitive Information (IRC_VIEW_EXTERNAL_CANDIDATE_SENSITIVE_INFORMATION)

  • Use REST Service - Candidates List of Values (IRC_REST_SERVICE_ACCESS_CANDIDATES_LOV)

Here's what to do

  1. Open a candidate profile.
  2. In the Actions menu, select Check Duplicates.
  3. Select one of the search options: Name, Person Number, Email, Phone.
  4. In the Search box, enter the value corresponding to the search option that you selected.
    For example, to search by a candidate's email address, select Email and enter the email address in the search box. The matching candidate information appears in the drop-down list.
  5. Select the candidate from the drop-down list. This takes you to the Pre-Merge Analysis page.
  6. In the Pre-Merge Analysis page, review the candidate's details, and then click Continue to go to the Select Candidate to Retain page.
  7. On the Select Candidate to Retain page, you can decide which of the duplicate candidates you want to delete and which ones to retain.
    For example, when one of the candidates doesn't have a prior work relationship with your organization, such as an ex-employee or an ex-contingent worker, you can delete that candidate.
