Performance Management Profile Options

Set profile options to define the auto save interval, and automatically transfer performance documents to new managers.

You can change these options only at the site level.

Follow these steps to manage profile options using the Setup and Maintenance work area:

  1. Open the Settings and Actions menu from your photo on the global header, and select Setup and Maintenance.

  2. Select Workforce Development from the Setup list.

  3. Click the Tasks icon and select Search from the list that appears.

  4. Search for the Manage Administrator Profile Values task and select it from the search results area.

  5. Search for the profile option code that you want to change. The profile option code and value appear in the search results area.

  6. Edit the profile value as described in the following sections.

  7. Specify the level at which the profile value is to be set. If the profile value applies to the entire site, select Site.

  8. Click Save and Close.

Automatically Transfer Performance Documents to New Managers

When an employee's manager changes, you can automatically transfer any open performance documents from the old manager to the new manager using the Auto Transfer Performance Documents to New Manager profile option, which must be set to Yes.

When this profile option is set to Yes, here's what happens whenever there's a manager change with an effective date of today, earlier, or in the future:

  • The application checks who the old manager is and does the transfer accordingly. If there are multiple manager changes on the same day, the application then checks who the manager is at the time of processing. It doesn't process all old manager records on the same day.

  • If the employee has any performance documents that aren't started or in-progress and the old manager was the performance evaluation manager, the application transfers those performance documents to the new manager. It doesn't process completed or canceled performance documents.

If an employee has other in-progress performance documents which are managed by another manager who's not changing, for example, a matrix manager or HR specialist, then these performance documents aren't impacted by the manager change.

Note: If you don't want any old performance documents to transfer to the new manager, then make sure you set them to Completed before you enable the profile option.

Apart from setting up the profile option, you must also run the Transfer Performance Documents with Manager Change scheduled process daily. This process uses HCM Events to check whether any changes to the recorded manager are processed for the current system date or earlier. It also checks whether they're canceled or corrected. It then transfers performance documents from the old manager to the new manager regardless of the manager type. This process also processes any future dated manager changes.

The new manager receives a notification for each performance document transfer.

Note: The application purges any data older than 180 days that's saved as a result of HCM Events.
