Performance Roles

Create roles to expand the scope of the performance evaluation to include feedback from participants other than the worker and the worker's manager. To implement multiparticipant feedback, you must first define the roles that can participate in the process.

To create performance roles, go to My Client Groups > Performance > Setup Maintenance > Performance Roles.

To make roles eligible to provide feedback, you must:

  • Define performance roles.

  • Provide a description for the role.

  • Make roles available for the performance document.

  • Associate questionnaires to the roles when using questionnaires.

Define Performance Roles

You can create as many roles as required for the evaluation process that your organization employs. For example, you might have participant roles such as peer or mentor, or participant roles to facilitate a matrix management review. You may have additional manager roles used in performance templates where the default manager type isn't the line manager, such as, for project performance documents where the default manager is a project manager.

  1. From the Performance Roles page, click Create.

  2. Select the Role Type, either Manager or Participant.

  3. If the Role Type is Manager, select Default Manager Type.

  4. Enter the name of the Role, for example, Matrix Project Manager or Peer.

  5. (Optional) Enter a description of the role.

  6. Specify the From Date and To Date.

    These dates have to overlap with the template dates to be valid for use in that template. For example, the role From Date can be before the template date, as long as the role To Date isn't before the template From Date. The role To Date can also be after the template To Date, as long as the role From Date isn't after the template To Date.

  7. Select a status. The default is Active.

  8. (Optional) If you want the role to be able to view worker and manager evaluations, click the check box Allow role to view worker and manager evaluations.

    Participants with this role can view the ratings, comments, and questionnaires submitted by other roles that are also visible to the manager when they open the performance document from the My Feedback Requests page.

  9. Click Save.

The seeded manager and worker roles are required; you can't delete or edit them. But you can create performance templates that don't require either the manager or worker role to answer a questionnaire or rate workers. In this case, you must add the role names to the template to permit the manager or worker to view feedback.

For example, you might create a performance template that includes the manager and participant roles only to gather feedback not visible to the worker. If you don't want the manager or worker to provide feedback, but do want them to view feedback provided by others, you must still add the role names to the sections in the template to permit them to view the other feedback.

Provide a Role Description

Along with the role name, you can add a description for the role. The description appears on the Manage Participant Feedback pages.

Make Roles Available to Access the Performance Document

The participant roles you create, along with the manager and worker roles, are eligible to access the performance document to provide ratings and comments on content and feedback on questionnaires. You must select the roles in the performance template to enable them to access the performance document.

Associate Questionnaires with Roles

Each role is eligible to respond to only one questionnaire for each performance document within a review period. But you can assign more than one role to participants so they can complete more than one questionnaire. You associate roles with the questionnaires that the role uses in the performance template.
