How You Send Email Notifications

As an HR specialist you can send email notifications to workers to remind them of upcoming events and tasks concerning performance documents.

For example, you use email notifications to inform a department about an upcoming performance evaluation. Recipients receive notification both by email and on their worklist. Use Send Email Notification on the Performance Documents task page.

Population

You must enter at least one of the following criteria to filter the recipient population:

  • Department

  • Performance document name

Select a department to notify all workers in that department. Select a performance document to notify all workers eligible to access the document. Select both to notify only workers within the selected department who are eligible to access the document. If the performance document isn't configured with eligibility, the notifications are sent to all workers.

In addition, you can further filter the recipient list by selecting the hire date range. Select the start and end range of the hire date to only send notifications to workers who were hired within the range. For example, you can use the hire date to notify workers of an upcoming annual evaluation that coincides with the worker hire date.

Email Subject and Text

You can edit the default email subject and text to any message that suits your purpose. You can format the text message and add links to it.

Increase the Number of Recipients for Notification

Notifications are sent to the first 500 recipients processed. To increase the number of recipients, administrators should create the profile option HRA_SEND_EMAIL_POPULATION_LIMIT, and set the number of employees they want to receive the notifications. A value of -1 will send to all eligible recipients.
