Cancel Performance Documents

HR specialists and managers can cancel a performance document to remove it from the performance management process.

This table shows how HR specialists and managers can cancel a performance document.

Who

How

HR specialists

  1. Go to My Client Groups > Performance > Performance Documents.

  2. Search for and select the performance documents.

  3. From the Actions menu, select Cancel.

Managers

  1. Go to My Team > Performance or the Performance tab on the employee's person spotlight page.

  2. Select the appropriate review period.

  3. From the Actions menu of the performance document that you want to cancel, select Cancel.

Note: Using HCM Data Loader, HR specialists can cancel performance documents for multiple employees at the same time.

Performance Documents You Can Cancel

You can cancel documents in any status except those that are already canceled. Managers can cancel performance documents they manage but not if the performance documents are complete. HR specialists can search for performance documents and employees they have security access to, but they can't search for their own performance documents. HR specialists can select and cancel multiple performance documents at one time.

Record Reason for Canceling

When HR specialists cancel performance documents, they can optionally choose a reason. Organizations can add their own reasons to the default list by using the ORA_HRA_MASS_UPD_TASK_REASON profile option in the Performance Lookups task in the Setup and Maintenance work area.

Impact of Canceling a Performance Document

Did you know that canceled documents aren't deleted permanently from the application? Also remember that you need to cancel a performance document before you can delete it. Here's what happens when you cancel a performance document:

  • Any talent profile content that changed as a result of updates to the performance document, such as competency ratings, reverts to its original state before the performance document was created.

  • When the notifications listed in this table are enabled, employees and managers are notified that the performance document is canceled.

You can restore or reopen performance documents to change the status from Canceled and resume the evaluation process. The content, ratings, and comments remain intact when you reopen or restore a document.
