Background Check

You can use a background check during the candidate selection process to investigate a candidate's background before hiring them.

A check on a candidate's background might include verifications such as employment history, education, criminal records. After the background check is complete, candidates are ready to be moved to the next step in the recruiting process.

Your administrator configures when the background check is automatically triggered during the candidate selection process. The background check partner obtains the candidate's info and completes the background check. You then receive a notification.

If you create a job requisition based on a template which contains background checks, the background checks are added to the requisition. You can edit the selected background check packages. If you create a requisition using a blank form, you can add background checks in the Screening Services section. You can add one or more background check packages, usually many packages with a single screening.

Note: You can add background check packages to requisitions in draft state, or other states as long as there are no job applications.

Depending on how background check was configured by your administrator, there are two possible ways to add background check packages to a job requisition:

  • From the partner's site: After you select a background check partner and a user account, you can click a link to go to the partner's site to add the background check packages to the job requisition. You can also specify the order in which the partner will run the screening packages. You can go to the partner's site to view details about a candidate's background check results or to order additional screenings.

  • Directly in Oracle Fusion Cloud Recruiting: After you select a background check partner and a user account, you can select packages without having to go to a partner's site.

    • If one background check trigger was configured in the candidate selection process, you can select one or more packages for the phase or state that has the background check trigger.

    • If many background check triggers were configured in the candidate selection process and the partner supports multi phases and states, you can select one or more packages for the different phases and states that have the background check trigger.

    • If many background check triggers were configured in the candidate selection process and the partner doesn't support multi phases and states, you can select one or more packages to one of the phase or state.

When you go to the Screening section of job applications, you can view the background check partners and packages that were copied from the job requisition to the job application. You can also view the status of the background check and background check results. These statuses are displayed:

  • Canceled
  • Candidate Input Required
  • Complete
  • Completed - Pass
  • Completed - Fail
  • Completed - To Be Verified
  • Declined By Candidate
  • Error
  • Initiated
  • In Progress
  • Not Triggered
Note: The status icon represents the last updated status from the partner. As an example, if the first partner update is Completed - Fail and the second update is Completed - Pass, the green check mark icon is displayed.

You can edit background check packages in job applications if you meet these conditions:

  • The package selection must be done within Oracle Recruiting. If you need to go to the partner's site, you can't change packages at the job application level.

  • You need the privilege Update Candidate Job Application Screening Package (IRC_UPDATE_CANDIDATE_JOB_APPLICATION_SCREENING_PACKAGE).

  • The job application isn't in Rejected state, Withdrawn state, or in HR phase.

  • You can remove packages not yet triggered.

  • You can add packages on triggers not yet reached.

Note: Partners aren't aware of job application status changes after they receive a request. As a result, it's possible for candidates to take an assessment regardless of the job application status. Partners can also update the assessment results regardless of the job application status.
