Fill a Job Requisition Automatically

You can automatically change the status of a job requisition to Filled once the number of hired candidates matches the number of openings on the job requisition.

There are situations where the Automatically Fill Requisition option is enabled but job requisitions aren't automatically filled. This happens when job applications have these statuses.

  • Offer - Pending Approval

  • Offer - Extended or later in the selection process (but not in the HR phase) which includes:

    • Offer - Accepted

    • Custom phases after the Offer phase, but not the terminal states Rejected by Employer, Withdrawn by Candidate. Job applications in terminal states don't prevent automatic filling.

This automatic filling is triggered when moving a job application to HR phase. The requisition will not automatically fill at a later point if the necessary conditions are met at a later time. For example, if you have job applications in the Offer phase when doing a Move to HR on another job application, this will prevent the automatic filling. Later rejecting the job applications in the offer phase will not trigger the requisition to be automatically filled. The Fill a Job Requisition Manually process will need to be use.

  1. On the Job Requisitions page, open a job requisition.
  2. Click the Details tab.
  3. In the Configuration section, click Edit.
  4. Set the option Automatically Fill Requisition to Yes.

Results:

Here's what happens next:

  • If the number of candidates is 50 or less, the fill action is done immediately.

  • If the number of candidates is higher than 50, a message is displayed explaining that the requisition will soon be filled. While waiting for the requisition to be filled, you can continue working on the requisition and its job applications. For instance, you can close the requisition manually, you can disposition job applications manually.

  • Active candidate applications who applied on the job requisition are moved to the predefined Rejected by Employer state of the phase they're currently in.

  • The job requisition is automatically unposted from all career sites and job boards.

  • When the fill action is complete, you'll receive a notification containing info about the number of job applications that were processed for each of theses statuses:

    • Succeeded: Job applications that were successfully processed.

    • Failed: Job applications that weren't successfully processed.

    • Skipped: Job applications that didn't need to be processed.
