Email Addresses for Sending Candidate Communications

You can use two different email addresses for your email communications with external candidates.

  • Vanity email: A vanity email is used to brand the "from email" to make it friendlier and easy to read. You can use this email when you want to track candidate communications in Recruiting.

  • No-reply email: You use the no-reply email when you don’t need to track or process replies sent by candidates. Automated notifications related to job alerts, campaigns, or candidate verifications (containing the PIN number) are usually sent using the no-reply email.

To take advantage of these features, it’s recommended to use separate mailboxes for the vanity email and no-reply email.

Automated Email Notifications

When you send an email that’s based on a content library template, the email is sent either through the no-reply email or vanity email, depending on certain factors. Before the 24D upgrade, the Capture Message checkbox in the content library template determined whether the notification was sent through the no-reply email or vanity email. However, now the following changes are in effect.

The following notifications are always sent through the no-reply email, even if they have the Capture Message checkbox enabled.

Notifications other than the above will be sent through the vanity email, if the Capture Message checkbox is enabled for them. They will be sent through the no-reply email, if the Capture Message checkbox is disabled.

However, for some notifications that have the Capture Message checkbox enabled, you can override this setting and send them through the no-reply email. For more information, see the topic Configure the No-Reply Email.

Candidate Replies to Automated Notifications

If an automated email is sent through the vanity email and candidates reply to them, hiring team members are notified of their replies in their work mailbox. The replies are also displayed in the Messages tab, only if the Capture Message checkbox is enabled for the automated email.

If the automated email is sent through the no-reply email and candidates reply to them, those replies aren’t processed in Recruiting. They are however available to read in the no-reply mailbox.
Note: To receive candidate replies, you must opt into Recruiting Booster and enable two-way email communications.

Custom Notifications

When you send an email to a candidate that’s not based on a content library template:
  • The email is sent through the vanity email.
  • The sent email is displayed in the Messages tab. Candidate replies are also displayed in the Messages tab.
  • Hiring team members aren't notified of candidate replies in their work mailbox.
  • Whenever a new recruiter or hiring manager is added to a conversation or replies to a conversation, they’re added as a participant in the conversation as long as they’re an employee.
