Example of Controlling Job Requisitions Visibility for a User
Job requisition visibility can range from viewing few requisitions to viewing all requisitions. By default, users can view job requisitions for their own team and those of their subordinates. This can be an issue when a user, such as a recruiter, needs access to more job requisitions, or when a user has access to too many requisitions but only needs access to some requisitions within their job responsibility.
Let’s walk through an example of a recruiter user who currently has default access but needs to view more requisitions within a certain recruiting location. Here are the steps to configure this scenario:
- Create a job requisition security profile.
- Identify the user's role that contains job requisition privileges.
- Verify the job requisition security profiles.
- Verify the area of responsibility aligns to the security profile.
Create a Job Requisition Security Profile
For this example, we’ll create a security profile for job requisitions secured by recruiting location.
- In My Client Groups, click Workforce Structures.
- On the Workforce Structures page, in the Security Profiles section, click Job Requisition Security Profiles.
- On the Job Requisition Security Profiles page, click Search to see the list of available security profiles. By default, the View My Team’s Requisitions and View All Job Requisitions are displayed.
- Click Create to add a new security profile for job requisitions secured by recruiting location.
- On the Create Job Requisition Security Profile page, enter a name. For example, Job Requisition Secured by Recruiting Location.
- In the Area of Responsibility section, select the options Secure by Area of Responsibility and Secure by Location. Take note of the responsibility type on the new job requisition security profile.
- You can secure the security profile by hiring team types. In the Hiring Team Member Type section, select the option Secure by Hiring Team Member Type and select hiring team member types such as Recruiter, Hiring Manager, and All collaborators.
- Click Save and Close.
Identify the User's Role that Contains Job Requisition Privileges
Now that you've created the job requisition security profile, go to the Security Console and find the user with the issue.
- In the Navigator menu, go to Tools and click Security Console.
- Click the Users tab.
- Search for the user having the issue and click the user's name.
- In the Roles section, identify the role containing the view job requisition
privilege and take note of the role name or code. Note: If you don’t know where the job requisition privilege is located, you'll need go back to the role details to view which privileges sit in which role assigned to the user.
- In My Client Groups, click Workforce Structures.
- On the Workforce Structures page, in the Data Role section, click Data Roles and Security Profiles.
- Search for the role by name or code.
- Click Edit.
- Click Next to view the security criteria.
- In the Job Requisition Security Profile field, select the security profile you created which is Job Requisitions Secured by Location.
- Click Next.
- Click Submit.
Verify the Job Requisition Security Profiles
You now need to verify that the role has the proper job requisition security profile in the Security Console.
- In the Navigator menu, go to Tools and click Security Console.
- Click the Roles tab.
- Search for the role you used earlier.
- In the Actions menu, click Edit Role to view the privileges.
- In the navigation bar, click Data Security Policies.
- Filter the list by requisition using the Privilege column. You can view the conditions of the security profile for viewing job requisitions. The user can now view job requisitions by recruiting location.
Verify the Area of Responsibility Aligns to the Security Profile
Lastly, verify that the area of responsibility and recruiting location hierarchy of the user.
- In My Client Groups, click Show More then click Areas of Responsibility.
- On the Areas of Responsibility page, search for the user and click the user's name.
- If the user has been assigned an area of responsibility, you can edit it. Or, you can create a new one using the Add button. Note: When creating an area of responsibility, it's recommended to create one using the Responsibility from Template option.
- On the Create Responsibility page, verify the existing area of responsibility or select the responsibility type you noted earlier.
- You can set the recruiting location hierarchy for this user to define the requisition locations that the user can access. For example, you could select United States. If you define a specific location, the user will be able to access requisitions that correspond to the recruiting location selected in their area of responsibility. Note: If the user needs access to multiple job requisition locations, you need to create another responsibility with the same responsibility type and recruiting location hierarchy node.
- Click Submit.
