Configure the Content of Calendar Events for Candidate Interviews

You can configure and personalize the content of the .ics attachments and Office 365 calendar events used when scheduling candidate interviews.

Three content item categories are available in the Recruiting Content Library:
  • Interview Calendar File For Candidates: This is for the .ics attachment provided to candidates.
  • Interview Calendar File For Interviewers: This is for the .ics attachment provided to interviewers.
  • Interview Office 365 Event For Interviewers: This is for the Office 365 calendar events provided to interviewers.

Default content items are available for each category. The content of these items is the same as the one available in previous releases. Default content items are active by default and only one content item can be active for each category. Since a default content item can’t be deactivated, you’ll need to create versions of the item to change its content.

When you personalize the content of Office 365 calendar events used when scheduling candidate interviews, that personalized content is used when the Teams or the Zoom integration is used for an interview. The content of the Office 365 calendar event varies whether you're using the Teams or Zoom integration.

  • When the Teams or Zoom integration isn't used, the content of the calendar event consists of the content defined in the Recruiting Content Library.
  • When the Zoom integration is used, the content of the calendar event consists of the content defined in the Recruiting Content Library (in previous releases, the subject from the content library was used, but the body of the event was empty).
  • When the Teams integration is used, the content of the calendar event consists of the content defined in the Recruiting Content Library, to which the meeting info provided by Teams is appended at the end (in previous releases, the subject from the content library was used, but only the Teams content was included in the body of the event).
  1. In the Setup and Maintenance work area, go to:
    • Offering: Recruiting and Candidate Experience
    • Functional Area: Recruiting and Candidate Experience Management
    • Task: Recruiting Content Library
  2. On the Recruiting Content Library page, select a content item category and open it:
    • Interview Calendar File For Candidates
    • Interview Calendar File For Interviewers
    • Interview Office 365 Event For Interviewers
  3. Open a content item.
  4. In the Additional Versions section, click Create.
  5. On the Create Version page, select a start date when the version will be available for use.
    If you want the version to be available as soon as it's activated, select the Start on Activation option.
  6. Define the content of the subject and of the message.
    Tokens are available for both the subject and message. The tokens will vary depending on the category selected. For the Office 365 calendar event message, rich text features are available to format the text.
    Note: In the case of multi-seat interviews where several candidates are scheduled for the same time slot, candidate and job application tokens can't be resolved in the interviewer .ics and Office 365 events. Tokens will return an empty value. This is because for interviewers, only 1 notification is sent for multi-seat interviews even if there are 10 candidates. If you want, you can use groovy expressions in the content for these items to avoid including the tokens and their associated text when tokens are empty.
    Note: If you include the InterviewSchedulingLocationWebConferenceLink token in the content of an item of the "Interview Office 365 Event For Interviewers" content library category, this token will return an empty value when Teams is used for the interviews. However, the actual link for the Teams web conference will be part of the content appended to the calendar event (appended after the personalized library content) and interviewers will still have access to this link. This is due to a technical limitation which only occurs when initially scheduling the interview. When the interview is updated (rescheduled, for example), the token will return a value. The same behavior is present for all interview notifications and calendar files, this token will return a value.
  7. Click Save and Activate to make the version available for use. Or Save as Draft to edit and activate the version at a later time.
