Candidate Messaging
You can send emails, SMS, and WhatsApp messages to candidates in the context of job applications, interviews, job offers, and more. You can send emails to both internal and external candidates, and SMS and WhatsApp messages only to external candidates.
One-way communications is the ability to only send messages. Two-way communications is the ability to send and receive messages.
You can send and receive emails from your own email client, such as Outlook and Gmail.
You can view and manage messages from these areas in Recruiting:
- Messages tab: Access from candidate job applications, prospect records, candidate profiles, and candidates in candidate pools. Messages are displayed based on the context specific to these pages. This tab is available in both the responsive UI and Redwood experience. The Redwood version has enhanced features compared to responsive UI.
- Message Center: Available only in the Redwood experience and needs to be enabled. Access it from My Client Groups > Hiring > Messages.
You can create messages in any of these ways:
- Using templates
- Manually
- Using AI
Preconfigured email and SMS templates are available in the Recruiting Content Library. For example, there are templates to update candidates on job applications or alert hiring teams. You can create and manage WhatsApp business templates using the WhatsApp Notification Template Library task.
When candidates send an email to the hiring team, that communication is saved as part of the candidate's profile, if the candidate exists in the database. This communication can’t be attached to any job application because there's no context to it. If the candidate isn’t available in the database, then the email is discarded.
Candidate communication preferences
Email is enabled by default and candidate communications are sent using this channel.
When you don’t enable SMS or WhatsApp, candidates register with their email. When you enable them, candidates register with their phone number or email and choose a preferred channel. After signing in, they can update their preference to any of these channels.
When a Recruiting Content Library template contains email, SMS, and WhatsApp content, candidates receive messages based on their preferences. If the template doesn’t include SMS or WhatsApp content but the candidate prefers these, they’ll receive only email.
