Analyzing Your Process

Before creating a process in Onboarding (Transitions), it is important to analyze your business requirements and the activities and participants that you will need.

During the analysis, you need to identify the steps involved in building the process, define what is required to perform the task in each step, decide who will complete each step, determine the order of the steps and any dependencies, identify the transitions from one step to another.

Note: Take the example of a task you wanted to ensure was assigned at a precise time, for example, five days after the employees' start date. You would not want the assignment of the task to be delayed just because some earlier tasks in the process were taking longer to complete than planned. A good solution would be to construct your process such that the "time-critical" task was independent on other tasks that might encounter a delay. You could create a transition from a task placed early in the process and certain not to encounter a delay to the "time-critical" task. You could assign a condition to the transition such as Start Date less-or-equal to five days. If other tasks in the process encountered a delay and took longer to complete than planned, the "time-critical" task would still be assigned no later than five days after the employees' start date.

You may want to create a flowchart to assist with the above analysis or you can simply use a pen and paper.

Once your process is well defined, you can build it in Onboarding (Transitions) Administration.
