Managing Task Manager Users

You can access information about the Task Manager users in the system from Tools > Access Control > Task Manager Users.

You can do the following:

  • Use the Search field along with the filter chips beneath the Search field to quickly locate user records.
  • Update user properties and manage user information.
  • Add users to teams.
  • View associated organizations, assignments, and groups for each user.
  • Export user information to a CSV or Excel file.
  • Show/Hide the columns you want to display.
  • Reload the page and display the latest user information.

Search User Records

Use the Search field to search for user records. You can enter the search criteria in the Search field and also use the filter chips to search for user records.

View User Information

The Task Manager Users page displays the following user information by default:

  • User Name
  • User Login
  • Email
  • Role

You can use the Customize Columns icon to hide or show the additional columns such as:

  • First Name - First name of the user.
  • Form Approver - (Yes/No) indicates whether the user is an Approver in any supplemental data form. This includes indirect assignments using Groups and Teams.
  • Form Preparer - (Yes/No) indicates whether the user is a Preparer in any supplemental data form. This includes indirect assignments using Groups and Teams.
  • Groups - List of groups the user belongs to.
  • Language -
  • Last Login - Date and time of last user login.
  • Last Name - Last name of the user.
  • Organizations - List of organizations that the user is assigned to.
  • Status - User status (Available or Unavailable).
  • Task Approver - (Yes/No) indicates whether the user is an Approver in any Task Manager task. This includes backup assignments and indirect assignments using Groups and Teams.
  • Task Assignee - (Yes/No) indicates whether the user is an Assignee in any Task Manager task. This includes backup assignments and indirect assignments using Groups and Teams.
  • Teams - List of teams the user belongs to.
  • Timezone - Timezone that is set in the user preferences of the respective user
  • Workflow Roles - Roles the user is assigned to in Tasks or Forms (Task Assignee, Form Approver 1, Task Viewer etc.).
  • Form Integrator - (Yes/No) indicates whether the user is an Integrator in any supplemental data form. This includes indirect assignments using Groups and Teams. <<Not there on UI>>
  • Role - Highest external role the user is assigned to.
  • Email - Email address of the user.

Set User Availability

To set the availability of the user:

  1. On the Task Manager Users page, select the user for which you want to edit the details and click Edit.

    The Edit User panel appears.

  2. On the Properties tab, from the Status drop-down list, select any of the following:
    • Available
    • Unavailable
  3. Click Save.

Add User to Teams

To add the user to teams:

  1. On the Task Manager Users page, select the user for which you want to add the teams and click Edit.

    The Edit User panel appears.

  2. On the Teams tab, click Add.
  3. Select the Team and the Role, and then click the Submit icon. The user is added to the specified team.
  4. Click Save.

View Associated Organizations, Assignments, and Groups for User

On the Task Manager User's page, select the user for which you want to view the associated organizations, assignments, and groups, and click Edit. The Edit User page appears. Click the required tab:

  • Organizations tab to view the associated organizations
  • Assignments tab to view the assignments
  • Groups tab to view the groups associated to the user

Reset to Default Values

On the Task Manager User's page, select the user for which you want to reset the details to the default values and click Edit. The Edit User page appears. On the Properties tab, click Clear Settings to revert the following to the default values set for the user:

  • Columns selected on dashboards and most of the Manage dialogs (for example, Manage Attributes dialog)
  • Sorting in dashboards
  • Applied filters in dashboards
  • State of various switches and controls on the dashboards
  • Default date formatting for the import dialog

Export User Records

To export user records, click Export. The user records are exported to a CSV file and downloaded to your system.

Refresh User Information

On the Task Manager Users page, click Refresh to refresh the user information.
