Adding an Actuals (Spends) Curve for Cash Flow by CBS Summary or CBS
To add an Actuals, or spends, curve for cash flow by Summary CBS or CBS:
- Go to the project/shell tab, and switch to User mode.
The shell must contains the cash flow that you want to modify.
- In the left Navigator, select Cost Manager, and then select Cash Flow to open the Cash Flow log.
The Cash Flow log lists existing cash flow curves and provides options to create curves, copy curves, view curve properties, and assign curve usage privileges to other users.
- In the Cash Flow log, select the cash flow.
- Select the gear menu (
), and then select Properties to open the Cash Flow Properties window or worksheet.
- In the General pane of the Cash Flow Properties window, from the Detail Level list, select Summary CBS for summary CBS codes or CBS for cash flow by individual CBS codes.
The Detail Level list includes the following options:
- Project/Shell
- Summary CBS
- CBS
- Business Process (Commitments)
- In the Curves pane, select the Curves list, and then select Actuals to open the Actuals (Curves Type: Spends) window.
Configure an Actuals Curve for Summary CBS
- Cost: Select a cost sheet column, such as Approved Budget Revisions or Approved Commitment Changes. You can select a cost column when you create a curve in a project/shell. You cannot select a cost column in a template because a template does not have a cost sheet to reference.
You cannot add an Actuals curve when you create a detail curve template.
- Set Effective Date for CBS: The system excludes curve data before the effective date from the cash flow.
- Variance: Typically, select Outflow for an Actuals curve. The system uses this value to calculate variances against Inflow curves.
During EVM calculation, Unifier uses uuu_effective_date to assign the actual amount to the applicable EVM month. This behavior is consistent with the period-assignment behavior for CBS and WBS BP actuals.
(Optional) Set an effective date for the CBS Code. For information about setting effective dates for CBS and Summary CBS cash flow curves, see Set Effective Dates for CBS and Summary CBS Cash Flow Curves below.
Configure an Actuals Curve for CBS
- Bring Actuals Data From: Select one of the following sources:
- Generic: Select data from a general CBS code.
- P6 Summary Sheet: Select a P6 data source. This option is not available for cash flow by Summary CBS.
The data picker lists all the P6 data sources available in the Cashflow Datasources window. To open the Cashflow Datasources window, go to the Company Workspace tab, and switch to Admin mode. In the left Navigator, select Standards & Libraries, select Cash Flow, and then select Data Sources.
This option is not available when the project/shell Schedule Type is Duration Based.
When you select this option, the system creates the Actuals curve from the Actual Cost spread in the selected P6 data source.
- Activity Sheet: Select an activity sheet from the Sheet Name list and a project type from the Project Type list.
In the Cost list, select one of the following required cost sources:
- From Activity Sheet Column
- From Cost Sheet Column
In the Schedule & Distribution list, select the required schedule and distribution method.
- Cost: Select a cost sheet column, such as Approved Budget Revisions or Approved Commitment Changes. You can select a cost column when you create a curve in a project/shell. You cannot select a cost column in a template because there a template does not have a cost sheet to reference.
You cannot add an Actuals curve when you create a detail curve template.
- Set Effective Date for CBS: The system excludes curve data before the effective date from the cash flow.
(Optional) Set an effective date for the CBS Code. For information about setting effective dates for CBS and Summary CBS cash flow curves, see Set Effective Dates for CBS and Summary CBS Cash Flow Curves below.
- Variance: Typically, select Outflow for an Actuals curve. The system uses this value to calculate variances against Inflow curves.
Set Effective Dates for CBS and Summary CBS Cash Flow Curves
For CBS and Summary CBS cash flow curves that use cost sheet data, you can set an effective date to determine when Actuals amounts are included in the cash flow.
- In the Cash Flow log, locate the CBS or Summary CBS cash flow, select its gear menu (
), and select Properties.
- In the Cash Flow Properties window, open the Actuals curve.
- In the Actuals window, select Set Effective Date for CBS, and select one of the following choices:
- No (Default value)
- Yes
- Select Define Effective Dates to open the Define Date per CBS window.
- In the Define Date per CBS window, select the CBS items for which you want to set an effective date. You can select one or more CBS codes and assign the same date and time to the selected rows.
- In the Select Date Time field, select the effective date and time.
The effective date and time serve as the cutoff. The cash flow curve excludes data before the specified date and time.
The Variance and Forecast curve calculations retain the Actuals curve data. Forecast curve distribution profiles also use the effective date as the starting point for Actuals.
When you use the cash flow for rollup, the system considers the effective date when it rolls up the cash flow data.
To clear an effective date, use the Remove Effective Dates option for the selected CBS codes.
Shell templates that contain CBS and Summary CBS Actuals curves (Actuals) with effective dates can be used to update existing shell templates. You can set an effective date and time)in the shell template instead of defining the dates for each new curve individually.
When you use Web Services, you can include the effective date when you create the cash flow curve. This option lets users create the curve without changing the dates in Unifier.
