Migrating Data from the Schedule Manager to a Manual Activity Sheet

After your administrator maps all custom fields from the Schedule Sheet to fields on the Activity Sheet, you can use the Automated Schedule Migration Tool to migrate data to a new Activity Sheet as often as needed. Migration includes preflight validation and produces post-migration reports and audit history for traceability.

The following rules apply to the migration process:

  • Migration populates a new Activity Sheet. It does not update or merge an existing Activity Sheet that was in use before migration.
  • The tool does not support automatic custom field creation, field type transformation, or batch multi-project operations.
  • In the Activity Sheet, only one CBS code is allowed, unlike the Schedule Sheet, where multiple CBS codes can be assigned. Therefore, you must select the cost code with the highest split_percent for migration. If multiple cost codes have the same split_percent, use the CBS code that appears first in ascending order.
  • The system automatically converts a Duration of days to hours by using calendar_hours_per_day.
  • The system supports only a Constraint Type of ASAP or None. It does not support As Late As Possible (ALAP).
  • The system populates the WBS Code, Name, and Path fields.
  • The system does not import float or EVM settings. The Activity Sheet automatically calculates this information.
  • For role and resource migration from the Schedule Sheet to the Activity Sheet, if the role or resource does not exist in the Master Rate Sheet, Unifier creates an entry in the Master Rate Sheet. Unifier then migrates the assignments to the Activity Sheet along with the assigned rate details.
  • If validation fails, the system does not make changes.
  • After migration completes, administrators can view the details in the Audit Log on the Company Information page and users can view the details in the Audit Log of the Activity Sheet.

Prerequisites

Ensure the following:
  • Your administrator has completed the mapping process. For more information, see Using the Migration Tool to Map Schedule Sheet Data to Manual Activity Sheets.
  • You have the required permissions to access and use the tool.
    1. Go to the Company Workspace tab, and switch to Admin mode.
    2. In the left Navigator, select User Administration, and then select Access Control.
    3. In the right pane, expand User Mode Access, expand Projects/Shells, expand Activity Manager, and select Activity Sheet.
    4. In the Module Permission Settings dialog box, enable Full Access and Create Manual Activity Sheets.
    5. Select OK, and then select OK again.

      Note:

      You can also access these settings from the project/shell tab. To do so, switch to Admin mode, select User Administration from the left Navigator, select Users, and then open the applicable account. User the Permissions tab to enable the settings described earlier.

Procedure

  1. Create an Activity Sheet.
    1. Go to the project/shell tab, and switch to User mode.
    2. In the left Navigator, select Activity Manager, and then select Activity Sheet.

      The Activity Sheets page appears.

    3. From the toolbar, select Create.
    4. Enter a name for the sheet, set Status to Active, and set any additional properties that are not populated from the Schedule Sheet.

      The Schedule Start Date and the calendar from the Schedule Sheet are migrated as properties.

    5. When you finish, select Create, and then select Yes when the confirmation message appears.

  2. Import the Schedule Sheet information to the newly created Activity Sheet.
    1. In the list of sheets on the Activity Sheets page, right-click the newly created sheet, and select Import from schedule sheet from the gear menu ("").
    2. In the Import Schedule prompt, select the applicable Schedule Sheet from the list, and then select Import.
    3. On the Things to Know Before Migrating dialog box, review the content, and then select Start Migration.
    4. When the message appears that indicates the process has started, select OK.
    5. To review the migration history, select the History tab for the Activity Sheet.
    6. To view detailed migration information, right-click the Activity Sheet, and select Migration Report from the gear menu ("").

      The report includes metadata, such as the job ID, if applicable, the project/shell identifier, the source Schedule Sheet, the destination Activity Sheet, the initiator, and the timestamp. It also includes mapping details for custom fields and predefined fields that are system-mapped.

    7. Open the Activity Sheet, and verify that the applicable information appears. For more information, see Manual Activity Sheet.

Note:

During migration from the Schedule Sheet to the Activity Sheet, the start date calculation logic differs for activities with multiple predecessor dependencies. In the Schedule Sheet, the activity start date is based on the earliest start date of the predecessor activities. In the Activity Sheet, the activity start date is based on the latest finish date of the predecessor activities. As a result, migrated activity start dates might not match between the two sheets for activities with multiple predecessor dependencies.
