Understanding Digital Asset

Introduction

In Communication Cloud Service, Digital Asset configuration provides basic content management capabilities, such as storing, organizing, and annotating digital files, such as marketing materials, branding assets, and communications (for example, PDF) generated by the Communication Distribution Service. You can upload and store essential files, such as logos, images, or output documents. These files are annotated with metadata using customizable fields, allowing you to set up search criteria and rules to easily find, retrieve, and reuse the assets when required.

To manage Digital Assets effectively, they are organized into Digital Asset Categories, with each category associated to a specific Marketing Company.

For example, at your financial institution, you can store the delivered monthly statements (PDF) as Digital Assets. These PDFs are securely stored and are annotated with metadata, such as the customer’s name, account number, statement date, and transaction details. You can search, retrieve and reuse these assets when ever required.

Functionalities

Following are the functionalities of a Digital Asset Configuration:

  • Centralized Storage and Management: Enables secure storage and organization of various files or resources in a centralized repository, supporting consistent access and improved data accuracy.
  • Entitlement and Access Control: Controls access and editing permissions to determine who can access or modify specific asset configuration, based on user roles and organizational ownership.
  • Conditions Based Selection: Uses predefined conditions to determine which Digital Asset configuration should be used to store the asset.
  • Metadata Annotation: Supports annotating of stored resources with metadata to allow efficient search, categorization, and filtering, improving usability and discoverability.

Configuration Movement

Configuring a Digital Asset follows the configuration movement process; that is, if you configure a Digital Asset in one tenancy (non-production), you can move the configuration to different tenancies (pre-production and production) sequentially.

The stored digital assets are restricted to their specific tenancy and are not moved as part of the configuration movement process.
