4.5.1 Actions Performed on Data Retention
To View Data Retention Policies:
- Navigate to Admin Tools > Data Retention > Data Retention Policy.
The Data Retention Policy screen is displayed.
- View the list of policies along with Table Name, Snapshot Type, Operation, Retention Period, and Archive Duration.
To Preview Cleanup Activities:
- Navigate to Admin Tools > Data Retention > Data Retention Policy.
- Click Next Cleanup Preview.
The system displays upcoming cleanup operations based on defined policies.
To Refresh or Reset Policy List:
- Navigate to Admin Tools > Data Retention > Data Retention Policy.
- Do either of the following:
- Click Refresh to reload the data.
- Click Reset to clear filters and restore the default view.
To View Execution History:
- Navigate to Admin Tools > Data Retention > Data Retention Execution History.
The Data Retention Execution History screen is displayed.
- View execution details such as As-of Date, Batch Run Id, Table Name, Operation, and Status.
To Download Execution Logs:
- Navigate to Admin Tools > Data Retention > Data Retention Execution History.
- Click Download Logs.
The system downloads the execution logs for the selected or filtered records.
To Filter Execution History:
- Navigate to Admin Tools > Data Retention > Data Retention Execution History.
- Use the search bar or filters such as Execution Date, Batch Run Id, and Table Name to refine the results.
To Defer a Cleanup Action:
- Navigate to Admin Tools > Data Retention > Data Retention Policy.
- Click Next Cleanup Preview.
The system displays cleanup operations scheduled for the next day, based on defined policies.
- Locate the required table row.
- In the Defer Action Until column, click the date field and select a date (up to three months from the current date) from the date picker.
The selected table's cleanup action is deferred until the chosen date.
To Manage Exclusions:
- Navigate to Admin Tools > Data Retention > Data Retention Policy.
- Click Manage Exclusion.
- On the Manage Cleanup Exclusions screen, select the required tables and mark them as included or excluded.
- Click Save to save your changes.
- Return to the Data Retention Policy screen and verify the updated status in the Exclude Status column.
