Manage Topic States page
On the Manage Topic States page, you can view the defined topic states, add states, and edit or delete states.
General activities
The following links appear at the top of the page and affect the entire page:
- Add State adds another topic state to the topic workflow configuration.
- Back returns you to the Edit Topic Workflow Configuration page.
- Columns allows you to select the columns and sort order for the Manage Topic States page.
- Print sends a PDF version of the Manage Topic States table to your printer.
- Download sends the Manage Topic States table to your PC in the format you specify.
Row-specific activities
The following options are available from the Row Action menu (), and affect an individual row in the table:
Field descriptions—Manage Topic State page
In this section, you can view the information for each topic workflow state.

Name |
Name of the topic workflow state. |
Description |
Description of the topic workflow state. |
Initial State |
Select Yes for a workflow state assigned automatically to a new topic when it is added. Select No for a state to indicate the topic is in progress or closed. Note: When you add a topic workflow state, the Init topic workflow state is supplied with the value set to Yes. You cannot add or change this setting for any other topic workflow state. |
Final State |
Select Yes for a workflow state to indicate no further information is expected to be gathered for a topic. Select No for a state to indicate the topic is new (initial state) or in progress. Topics in a final state can be reopened if the next defined possible state is not in the Final State, and if the topic is visible to work teams and the user has the Reopen Topics/Actions work team permission. Note: You can set a topic workflow configuration option to require that all actions be in a final state before the topic itself can be moved to a final state. See Edit Workflow Configuration Options. |
Next Possible States |
States a user can assign to a topic that is in this state. Determines the transitions that are possible from one state to another. If the transition requires approval, the Requires Approval icon () appears next to the state. |
