Cancel an Appointment

The Cancel Appointment workflow is used when a patient, provider, or facility requests to cancel an appointment. Any appointment not in a Checked Out status can be canceled.

To cancel an appointment:

  1. Locate the appointment to cancel. Appointments can be canceled from Patient Tracker, the Visit List, or the Schedule View.

    Note:

    • Patient Tracker: You must select a location for appointments to display. Additional filters include Appointment Type, Resource, Status, and Patient Name/DOB.
    • Schedule View: Filter by the resource with which the appointment is associated.
    • Visit List:Select the patient and navigate to their profile to view the Visit List (medium and expanded views) and locate the appointment.
  2. From the applicable appointment, select Actions (…), then select Cancel Appointment.
  3. Select Patient or Other, based on who initiated the cancellation request.
  4. From the list, select a reason, then select Cancel Appointment. The appointment and visit are canceled. Additionally, a notification is sent to the patient's preferred method of contact.

    Note:

    After you have canceled an appointment, the system automatically performs the following actions:
    • An HL7 outbound message is submitted.
    • An appointment history notation is logged, including the time of the transaction and the name of the user who performed the task.
    • An audit entry is created to ensure HIPAA compliance.
