Schedule an Appointment
Appointments can be scheduled for new and existing patients. The system helps to make the process more efficient by filtering the search criteria to display only valid combinations as you make your selections.
Note:
Scheduling questionnaires configured in the form of accept formats for appointment types in Millennium Platform are not reflected in Oracle Health Patient Administration. When you schedule appointments in Oracle Health Patient Administration, ensure that you have a process in place for obtaining relevant information, especially if the data to be collected relates to patient safety.Search for Patient
Search for and select the patient to open the Patient Overview page. See Search for Persons.
Review Patient Information
Review and update patient information as needed. See Edit Patient Information.
Review Financial Responsibility
Review and update financial responsibility as needed. See Manage Financial Responsibility at the Patient Level.
Review Care Team
Review and update care team members as needed. See Update Care Team.
Schedule Appointments
Single Appointment
- Under Today's and Active Visits, or from the expanded Visit List, select + New Appointment.
- Select the appointment type and update the Date, Specialty, Location, and Provider, and other filters as needed.
- Select an available appointment, enter a reason for the appointment and any appointment notes, then select Add Appointment to add the appointment to the Selected Appointment list.
Note:
You can add multiple appointments of the same type to the Selected Appointments list while you determine the optimal availability for the patient. - To schedule the appointment, select Schedule. A visit is created and associated with the appointment. A confirmation message is displayed with any preparations and instructions, if applicable. Also, a notification is sent to the patient's preferred method of contact. When a visit is created, the following values are added to the visit:
- Encounter type: Will read as Outpatient.
- Visit date/time: Aligned with the scheduled appointment date and time.
- Reason for encounter/visit: Aligned with the Reason for Appointment value.
- Attending physician: Aligned with the physician selected. If no physician, the Other value is selected.
- Location: Aligned with the location selected.
- Accident information: Whether the appointment is accident-related.
- Onset date: Aligned with the date the appointment is scheduled.
Note:
After you have scheduled an appointment, the system automatically performs the following actions:- An HL7 outbound message is submitted.
- An appointment history notation is logged, including the time of the transaction and the name of the user who performed the task.
- An audit entry is created to ensure HIPAA compliance.
Multiple Appointments
- Under Today's and Active Visits, or from the expanded Visit List, select + New Appointment.
- Select the appointment type and update the Date, Specialty, Location, and Provider, and other filters as needed.
- Select an available appointment, enter a reason for the appointment and any appointment notes, then select Add Appointment to add the appointment to the Selected Appointment list.
Note:
You can add multiple appointments of the same type to the Selected Appointments list while you determine the optimal availability for the patient. - Select a different appointment type and make any other filter changes needed.
- Repeat Step 3.
- To schedule all selected appointments, select Schedule. A visit is created and associated with the appointments. A confirmation message is displayed with any preparations and instructions, if applicable. Also, a notification is sent to the patient's preferred method of contact. When a visit is created, the following values are added to the visit:
- Encounter type: Will read as Outpatient.
- Visit date/time: Aligned with the scheduled appointment date and time.
- Reason for encounter/visit: Aligned with the Reason for Appointment value.
- Attending physician: Aligned with the physician selected. If no physician, the Other value is selected.
- Location: Aligned with the location selected.
- Accident information: Whether the appointment is accident-related.
- Onset date: Aligned with the date the appointment is scheduled.
Note:

Review Visit
- On the Appointment Summary page, select Edit Visit next to the appointment to review the information for that visit, or select the left arrow to view all visits for the patient.
- View the visit information and update as needed (for example, adding a place of service or entering accident information). See Manage Visits.
