OPERA Controls — Events

The following tables outline the functions, parameters, and settings that can be configured in the OPERA Controls Events group.

ALTERNATE SPACE FUNCTION

When enabled, a function space can be configured to require an alternate space as a back-up, whenever the function space is selected for an Event. A typical use case for this functionality is for outside function space that requires a back-up in the event of inclement weather. When the space requiring an alternate space is selected for an event, you are prompted and required to select an additional space(s). When an alternate space(s) is assigned, an additional event(s) is automatically created to reserve the alternate space(s) for the same date and times as the original event.

 

ALTERNATE SPACE EVENT NAME SETTING

Default name for an event in an Alternate Space.

CATERING EVENTS

[CATERING_EVENTS]

 

Enables the ability to schedule an event and block a function space for a specific date and time. Events can be reserved in non-deduct or deduct status.

CATERING EVENTS VIEW ONLY

CATERING_EVENTS_VIEW_ONLY

 

Activates view-only access to OPERA v5 Sales and Catering events in OPERA Cloud PMS.

EVENT PACKAGES

[EVENT_PACKAGES]

 

Enables the ability to create a collection of events and their associated menus, inventory items, and function space. These events are configured together to allow for quickly adding them to a block in one action. Once added to a block, they function as a package with inherited attendees and pricing (either per person or on a flat basis).

EVENT POSTING

EVENT_POSTING]

 

Enables the ability to post the actual charges for an event directly to the posting master account for the related block.

 

DEFAULT CATERING FOLIO STYLE

DEFAULT_CATERING_FOLIO_STYLE]

The Folio Style automatically used when generating a Folio for Catering.

EVENT RESOURCES

[EVENT_RESOURCES]

 

Enables the ability configure menus and inventory items and attach them to catering events. These event resources are used to build the details of the event and produce the Banquet Event Order.

 

EVENT REVENUE ACTUALIZATION

[EVENT_EDIT_ACTUALS]

Setting determines whether catering revenue is tracked at the event or resource level.

EVENT TEMPLATES

[EVENT_TEMPLATES]

 

Enables the ability to create a collection of events and their associated menus, inventory items, and function space. These events are configured together to allow for quickly adding them to a block in one action. Once added to a block, they function as independent events with their own individual pricing.

EVENT WAITLIST

[EVENT_WAITLIST]

 

Enables the ability to reserve function space already reserved for another block in a deduct from inventory status. These events are put on a waitlist in the order they have been created, but that order can be manually updated. If the function space becomes available, the waitlisted event with the first priority will automatically come off the waitlist and be moved to a deduct from inventory status.

 

WAITLIST ACTIVITY TYPE

This activity type is used to notify a user that an event, which was waitlisted, has been assigned to a function space.

GUEST ROOM AS MEETING ROOM

[GUESTROOM_AS_MEETINGROOM]

 

When active, catering events can be booked in guest rooms that are configured for events. The Meeting checkbox will be available for room types configured as physical rooms, allowing a property to identify the room types that can be utilized for catering events. In Room configuration, when the room is associated to a Room Type marked for meetings, a new checkbox for Events will be available for selection. When this checkbox is selected, the user will be able to configure the room to be used for events by adding setup styles, rental codes, and additional information. When an event is booked in a guest room, a reservation will automatically be created to ensure that the room cannot be booked by another guest. The arrival and departure dates will be determined by the start and end time of the event and the values in the setting for Event Start Time Rooms and Event End Time Rooms.

 

EVENT START TIME ROOMS

Rooms will be deducted from inventory the previous day for Events starting prior to this time

 

EVENT END TIME ROOMS

Rooms will be deducted from inventory the following day for Events ending after this time.

Enables the ability to create a new event and auto-create a block simultaneously

SIMPLE EVENTS

[DIARY]

 

Activates Simple Catering Events and Function Diary functionality in OPERA Cloud PMS. With Simple Events, you can schedule events for a specific date and time, specify the number of attendees, event type , setup style and assign a function space. Event notes can be added to track the various resource requirements for the event. Simple Events then appear in the Function Diary. For more information, see Simple Events.

Note:

The Simple Events function is not available when the Oracle Hospitality OPERA Cloud Service, Sales and Event Management Standard Edition or Oracle Hospitality OPERA Cloud Service, Sales and Event Management Premium Edition is active.

SUB EVENTS

[SUB_EVENTS_ACTIVE]

 

Enables the ability to create events that are linked to other events, either in the same function space or a different space. These events can then be printed together on Banquet Event Orders to illustrate their connected nature.

Provides the ability to configure meal periods and link event types to a specific meal period for reporting purposes.

CONSUMPTION MENU FORECASTING

[CONSUMPTION_MENU_FORECASTING]

Allows for a Menu Price to be added to a Consumption Menu in Menu Configuration and when editing a Menu that has been attached to an Event.

COPY EVENT NOTES

Copy Event Notes when copying an Event.

COPY FORECAST FIGURES

[COPY_FORECAST_FIGURES]

Copy Event Forecast Figures when copying an Event.

COPY RESOURCE NOTES

Copy Resource Notes when copying a Resource.

ITEM INVENTORY WARNING

Show Inventory Warnings for Items.

KEEP EVENT DETAILS ON TYPE CHANGE

Keep Event Details as they are when the event type is changed.

MENU ITEM DEMAND

Expose demand factor on menu items when configuring menus.

RESOURCE COST

Expose cost fields for catering resources.

USE FORECAST REVENUE

[USE_FORECAST_REVENUE]

The On the Books Revenue calculation will use the forecast-ed revenue until "Use Forecast Revenue" checkbox is unchecked.

WARN WHEN SPACE BOOKED

[WARN_WHEN_SPACE_BOOKED]

User will receive a warning message indicating the space is booked by another event.

SETTING DESCRIPTION

DEFAULT SPACE REVENUE TYPE

Defines the default revenue type that will populate when configuring rental amounts for function space.

Valid values: Select from the configured revenue types.

MEASUREMENT

[MEASUREMENT]

Specifies the measurement system used for the function space.

Valid values:
  • METRIC

  • IMPERIAL

NO SPACE WARNING IN EVENT SEARCH

[NO_SPACE_WARNING_IN_EVENT_SEARCH]

Status for which users will be warned that one or more events exist that do not have space assigned. The message will only appear when the search criteria includes Block ID.

Valid values: Multi-select from the configured status codes.
