View Room Availability for Blocks Using Group Rooms Control
00:06
In this video, you will learn how to create a block and allocate rooms on
00:10
the room and rate grid. Let's get started.
00:14
First, I will create a new block. In Opera Cloud go to Bookings, select Blocks,
00:20
and then select Manage Block. I click create block.
00:25
I click the property magnifying glass and select a property from the list.
00:27
Next, I click the account magnifying glass. To link a company, I enter the company name,
00:34
and then click search. Now, I see a list of company accounts on the left,
00:39
once I select an account any linked contacts display on the right.
00:43
Or I can click the I want to menu to create a new company profile.
00:48
In this example, I select an company account and then scroll down to select the account only.
00:58
I update the default block name to company conference.
01:03
Next. I complete the required fields. I click the market magnifying glass,
01:08
to select the market from the list and then click select.
01:12
Next, click the source magnifying glass and select the source from the list
01:19
and then click select.
01:22
Now, click the reservation type magnifying glass, select the reservation type from the list
01:27
and then click select. I can scroll down to complete any additional
01:32
room details or catering details for the block. In this example, the rate code is mandatory.
01:39
I click the rate code magnifying glass to select a rate code from the list and then click select.
01:47
Next, I click Yes, to automatically update the
01:51
market and source code for the selected rate code.
01:55
This property has the OPERA Cloud Sales and Event Management Premium Cloud Service active,
02:00
so now I have the option to quickly setup the block room allocation by selecting a room pool,
02:05
entering the number of rooms to allocate, and I can also enter a rate amount or define the
02:10
cut off date or days. For the catering details,
02:13
I must enter the number of event attendees. Next, I click save and go to room grid to
02:18
manage the room allocation for this block. Now, I see the house availability per room type
02:23
for the block dates and I also see there are zero rooms allocated to the block right now.
02:28
If I click to expand the rates, I can see the pricing for 1-4 adults room occupancy display
02:33
because I previously selected the rate code when creating this block.
02:38
Now, to allocate rooms to this block, I click the actions menu,
02:42
and then click Load Room Grid. I can specify the date range,
02:44
or the days of the week, and the number of rooms per room type for the block.
02:46
On the room grid options, I can specify the days of the week,
02:49
the cut off date or the number of cut off days to release the rooms back to the inventory.
02:54
Entering a cut off date means rooms not picked up with reservations by this date
02:58
are returned to the house availability. Or I can enter a number of cutoff days,
03:03
and instead of assigning one cut off date to release all available rooms for the block,
03:07
defining the number of days for the Cutoff Days releases the rooms one night at a time.
03:12
The cutoff days field is only available if the Cutoff Date field is empty.
03:17
To add 5 standard rooms to the block, i select the checkbox for the standard room type
03:21
and then add 5 to the number of rooms. And then click save and continue.
03:26
Next, I select the deluxe room type and add 5 to the number of rooms,
03:30
and click save and continue. And finally, I select the checkbox
03:34
for the translation6 room type and then add 10 to the number of rooms.
03:38
And click save. Now, I can see these
03:41
rooms are allocated to the block. Let's take a look at how to add more
03:44
rooms to the block. Go to the action menu,
03:47
and click the load room grid option. Now, I can select the checkbox next to
03:51
room type, I want to update. Next, I must select the checkbox to
03:55
increase / decrease the number of rooms, and then add the number of rooms.
03:58
If I want to decrease the number of rooms I would enter a negative number.
04:02
In this example, I add 2 standard rooms and then click save.
04:06
Now, I can see the standard room type increased by 2 rooms, from 5 to 7 rooms.
04:12
I can also find the room and rate grid directly from the block.
04:15
Next, I click the block name to go to the block.
04:19
On the block, I can edit the details or I can go to the
04:23
I want to menu to find actions related to this block.
04:27
In this example, I click the option to go to the room and rate grid.
04:33
To view or update the room allocation click manage.
04:38
Now, click actions and then load room grid to make
04:41
any more changes to the room allocation for this block.
