Configuring Block and Catering Event Status Codes

Status codes are used in Blocks and Events to determine their status. Both Blocks and Events progress through a series of statuses and as such a block (and event) status flow must also be configured. See Configuring Status Code Flow.

Note:

Block Status and Block Status Flow are global configuration in multi-property operations. A maximum of 20 status codes can be configured.

Adding Status Codes

  1. From the Administration menu, select Booking, select Block Status, and then Status Codes.

  2. Click New and enter the following details:

    1. Code: Enter a code that is used to define the status.

    2. Description: Enter a description for the status.

    3. Sequence: Enter a sequence that indicates the order the status code. The sequence order is important for when you setup the Block Status Flow. Only status codes with a higher sequence value can be selected as a 'next status'.

    4. Room Status Type: Select a room status type from the list:
      1. Inquiry: Indicates the initial status of a group. This block status does not deduct rooms from the inventory. The Include Inquiry in Non Deduct Inventory Calculations OPERA Control determines whether status codes configured as Inquiry should be included in the Non-Deduct Inventory calculation on the Rooms Control and on the Function Diary.

      2. Non Deduct Inventory: Does not deduct from the inventory of guest rooms or function spaces.

      3. Deduct Inventory: Deducts inventory from the  guest rooms or function spaces.

      4. Actual: Actual is deducted from inventory if the OPERA ControlsBlocks> Turn Booking into Actual Upon is set to Arrival. Actual is non deduct if the OPERA ControlsBlocks > Turn Booking into Actual Upon is set to Departure.

      5. Waitlist: This status type is only used to Waitlist catering events when OPERA Controls > Events > Events Waitlist is active (available with Oracle Hospitality OPERA Cloud Service, Sales and Event Management Standard Edition or Oracle Hospitality OPERA Cloud Service, Sales and Event Management Premium Edition). When creating the Waitlist status code both the Room and Catering Status Type should be set to Waitlist. There can be only one status code having Waitlist and this status code is not used in Status Flow.

      6. Cancel: This status returns the block inventory to the hotel for both guest rooms and function spaces.

    5. Catering Status Type: Select a catering status type to use with the status code (Oracle Hospitality OPERA Cloud Service, Sales and Event Management Standard Edition or Oracle Hospitality OPERA Cloud Service, Sales and Event Management Premium Edition):
      1. Inquiry: Indicates the initial status of a group. This is status does not deduct from the inventory.

      2. Non Deduct Inventory: Does not deduct from the inventory of guest rooms or function spaces.

      3. Deduct Inventory: Deducts inventory from the  guest rooms or function spaces.

      4. Actual: Actual is deducted from inventory if the OPERA Controls Blocks > Turn Booking into Actual Upon is set to Arrival, Actual is non deduct if the OPERA Controls >  Blocks > Turn Booking into Actual Upon is set to Departure.

      5. Waitlist: This status type is only used to Waitlist catering events when OPERA Controls > Events > Events Waitlist is active (available with Oracle Hospitality OPERA Cloud Service, Sales and Event Management Standard Edition or Oracle Hospitality OPERA Cloud Service, Sales and Event Management Premium Edition).   When creating the Waitlist status code both the Room and Catering Status Type should be set to Waitlist.  There can be only one status code having Waitlist and this status code is not used in Status Flow.

      6. Cancel: This status returns the block inventory to the hotel for both guest rooms and function spaces.

    6. Default Reservation Type: Select a reservation type to be used for this status code. The reservation type and status code must have the same deduct/no deduct status. For more information, see Reservation Types

    7. Reason Type: Select a return inventory reason type from the list. This option is enabled when the Return Inventory check box is selected.

      1. Cancellation

      2. Lost

      3. Refused

    8. Color: Select a display color to associate with the status code. The status code’s defined color will identify the event status on the Function Diary and the Group Rooms Control.

    9. Starting: Select check box to indicate this status code is a starting status. Blocks and events can commence in this status

    10. Return Inventory: Select check box to indicate the block in this status code will have their room allocation returned to house availability.

    11. Allow Pickup: Select check box to indicate the block will be open for pickup (reservation rooming list entry) when in this status.

    12. Diary: Select check box to show events in this status within the Function Diary .

    13. Log Catering Changes: Select check box to track event changes to event log once events are in this status.

  3. Click Save.

Editing Status Codes

  1. From the Administration menu, select Booking, select Block Status, and then Status Codes.

  2. Enter search criteria and click Search.

  3. Select the Status Code, then click the vertical ellipsis Actions menu and select Edit.

  4. Update details.

  5. Click Save.

Deleting Status Codes

You cannot delete status codes used in Blocks, Events or configured as part of the Block Status Flow.

  1. From the Administration menu, select Booking, select Block Status, and then Status Codes.

  2. Enter search criteria and click Search.

  3. Select the Status Code, then click the vertical ellipsis Actions menu and select Delete.

  4. Click Delete to confirm.
