Managing Reservations Shares

Shared reservations support two or more reservations occupying the same room.  When the Enforce Same Stay Dates For Sharing Guests OPERA Control is not active, shared reservations are not required to share the same arrival and departure dates, but must share at least one night in common. When the Enforce Same Rate Code For Sharing Guests OPERA Control is not active, shared reservation can have different rate codes and package entitlements. Share reservation can be setup so that one reservation has the entire rate or each reservation may share a portion of the rate amount.

Unlike the Accompanying Guests feature, each share reservation has separate billing and folio details. You can combine existing reservations into a share reservation and add a new reservation to create a share. 

Adding New Share Reservation

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria for the reservation and click Search.

  3. Select a reservation in the search results, click I Want to. . . and then select Shares or click the Shares link in Reservation Presentation.

  4. Click Create New Share and enter the following details:

    1. Name: Click to search for a profile or create a profile.

      1. Click Create Guest Profile to create a new profile. Refer to Creating Guest or Contact Profile.

    2. Adults: Enter the number of adults.

    3. Children: Enter the number of children.

    4. Arrival: Enter or select the arrival date.

    5. Departure: Enter or select the departure date.

    6. Reservation Type: Select a reservation type from the list.

    7. Enter Payment Information.

      1. Refer to Managing Reservation Payment Instructions.

  5. Click Save.

  6. Refer to Adjusting Share Rates below.

Combining Existing Reservations into a Share Reservation

 To combine existing reservations there must be at least night of the stay in common.

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria for the reservation and click Search.

  3. Select a reservation in the search results, click I Want to. . . and then select Shares or click the Shares link in Reservation Presentation.

  4. Click Combine Existing Reservation.

    1. Name: Enter surname of the reservation and click the icon to search.

    2. Select the reservation in the search result and click Select.

  5. Click Save.

Separating (Breaking) Share Reservations (Reserved Status)

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria for the reservation and click Search.

  3. Select a reservation in the search results, click I Want to. . . and then select Shares or click the Shares link in Reservation Presentation.

  4. Select the reservation(s) to be separated and click the vertical ellipsis and select Separate Share.

Note:

When the Enforce Credit Card Entry for Credit Card Guaranteed During Break Share OPERA Control is active a list of credit card guaranteed reservations which does not have credit card details will be presented in addition to the payment screen to enter new credit card details to be attached to those reservations.

Separating (Breaking) Share Reservations (Inhouse Status)

For Inhouse reservations use the Room Move action to separate share reservations.

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria for the reservation and click Search.

  3. Select a reservation in the search results, click I Want to. . . and then select Shares or click the Shares link in Reservation Presentation.

  4. Select the reservation(s) to be separated and click the vertical ellipsis Actions menu and select Room Move. For more information, see Room Move.

Adjusting Shared Rates

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria for the reservation and click Search.

  3. Select a reservation in the search results, click I Want to. . . and then select Shares or click the Shares link in Reservation Presentation.

  4. Click the vertical ellipsis and select on the following options:

    1. Apply Full Rate: Select this option to apply the rate in full to each sharing guest.

    2. Apply Entire Rate: Select this option to apply the rate in full for the total number of persons to the first share reservation. First select the reservation for which the entire rate is to be applied.

    3. Apply Split Rate: Select this option to split the rate evenly between all sharing guests.

    4. Apply Custom Split Rate: Select this option to apply a custom split rate between all sharing guests.

      1. For each date and each reservation enter the rate amount

      2. For eligible rate codes you can also enter a discount amount per night and select a discount reason from the list.

      3. Click Save.

  5. Refer to Fixed Rate Share Considerations below.

Managing Share Guests

  1. From the OPERA Cloud menu, select Bookings, select Reservations, and then select Manage Reservation.

  2. Enter search criteria for the reservation and click Search.

  3. Select a reservation in the search results, click I Want to. . . and then select Shares or click the Shares link in Reservation Presentation.

  4. Click the vertical ellipsis and select Manage Shared Guests.

  5. Drag and drop the Adults and Children icons to move guests between reservations.

  6. Click Save.

Fixed Rate Share Considerations

This section describes OPERA Cloud shares handling for fixed rate reservations.

When the Share Rate Splitting for Fixed Reservations OPERA Control is inactive the following conditions apply when a sharer has a fixed rate:

  • The sharer cannot be designated to pay the full rate (Full option). The sharer pays the fixed rate, regardless of whether it is more or less than the full rate.

  • The sharer cannot be designated to assume the total rate charge using the Entire option. Neither will the rate for the sharer be set to zero if another sharer is chosen to assume the total room rate charge. The rate for this sharer remains at the fixed rate.

  • If the Split option is selected, the fixed rate will not change for the sharer. The fixed rate will be used as this sharer's portion of the split, and other sharers will equally divide the remainder of the rate. For example, assume a three-way share, with Guest 1, having a fixed rate of 145. If the total rate for the night is 450, the Guest 1 share is 145, while the other two guests split the remainder (305), paying 152.50 each.

When the Share Rate Splitting for Fixed Reservations OPERA Control is active the Entire, Full, and Split options are available and behave the same as for non-fixed rates, provided that:

  • All sharer reservations have a fixed rate.

  • All sharer reservations have the same rate code.

OPERA Cloud simply adds the fixed rates shown on the reservations. The rate amounts are added together each time Full is selected.

For example, assume that Guest 1, Guest 2 and Guest 3 are sharing, that all three have the same rate code, and all three have a fixed rate.

  • OPERA Cloud simply adds the fixed rates shown on the reservations. The rate amounts are added together each time Full is selected. For example, if one sharer has a fixed rate of 140 and another has a fixed rate of 145, the rate for each sharer will be 285 when Full is selected. If Full is selected again, the rate for each sharer will be 570. The rate is not refreshed (for example, to account for a 3-adults rate that may be specified on the rate detail).
