Compressing Invoices

Use the Compress feature to combine two or more invoices into one new invoice.
  • After you compress invoices, you cannot add new postings or adjust transactions on the invoice.

  • You cannot compress invoices that include postings for the current business date.

  • You cannot compress invoices that have been paid either partially or in full.

  • The Payment button is not available for the detail invoices of a compressed invoice. You can apply a payment only to the top-level master invoice.

When you combine two or more invoices into a single invoice, the combined entry is assigned a new invoice number on the Manage Account Invoices page. The new parent invoice reflects the total amount of the compressed invoices and displays an icon to identify the record as compressed.

A plus sign (+) appears to the left of the parent invoice; click the plus sign (+) to expand and view the original invoices, now marked by an icon, that are now compressed. The plus sign (+) changes to a minus sign (-). Click the minus sign (-) to collapse the display of individual invoices to view only the compressed invoice.

Compressing Invoices

To compress two or more invoices, mark the invoices you want to combine and select the Compress button. The Compress Invoices screen appears, showing the account name and total amount of the compressed invoices. Enter Supplement or Reference text if applicable.
  1. From the OPERA Cloud menu, select Financials, select Account Receivables, and then select Manage Accounts Receivables.

  2. Enter search criteria, then click Search.

  3. Select the AR account in the search result, then click the amount in the Balance column or click I Want To . . . and select Invoices

  4. When the Force Cashier Login OPERA Control is active you are prompted for your cashier login credentials..

    1. On Manage Account Invoices:

    2. Select the invoice check boxes of two or more invoices you want to compress.

    3. Click Compress Invoices and complete the following:

      1. Supplement: Enter any supplementary information text.

      2. Reference: Enter any reference information.

      3. Click Compress Invoices.

Uncompressing Invoices

You can decompress invoices that have been compressed on the same business day; once the business date has changed the option is not longer available.
  1. From the OPERA Cloud menu, select Financials, select Account Receivables, and then select Manage Accounts Receivables.

  2. Enter search criteria, then click Search.

  3. Select the AR account in the search result, then click the amount in the Balance column or click I Want To . . . and select Invoices.

  4. When the Force Cashier Login OPERA Control is active you are prompted for your cashier login credentials.

    • On Manage Account Invoices.

    • Locate and select the compressed (parent) invoice. 

    • Click Uncompress Invoices.
