Managing Reservation Notes

Multiple reservation notes can be added to a reservation; each note is categorized by note type Configuring Note Types and set to appear in a specific notification area/condition. Reservation notes can be added to a reservation in any reservation status.

When the Copy Profile Reservation Notes To Reservation OPERA Control is active, reservation notes on the profile will copy to new reservations for the selected profile. If travel agent, company, source, group or contact profiles are attached to the reservation, and these profiles have their own Reservation Notes, the system will prompt the reservation agent with the following message, “Reservation comments exist for this <Company/Travel Agent/Source/Group> profile”. If you wish to copy them to the reservation, select Yes or else select No.

Adding Reservation Notes

  1. From the OPERA Cloud menu, select Bookings , Reservations, and then Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want To. . ., Notes or click the Notes link in Reservation Presentation.

  4. Select Reservation Notes tab.

  5. Click New.

    1. Type: Select a note type. For more information, see Configuring Note Types.

    2. Internal: Select this check box if the comment is to be treated as internal.

      Note:

      Internal notes are not output on stationery or on reports unless the report explicitly allows display of Internal Notes. You can uncheck this check box when Override Internal is selected in the note type configuration.
    3. Title: Enter a summary title for the note (is default based on the note type but it can be updated).

    4. Notification Area: Select an area where note should appear.

      1. Reservation: Display prior to check in.

      2. Inhouse: Display after check in.

      3. Cashier: Displayed on Billing Screen.

      4. General: Displayed on Billing Screen, After Check In, Prior to check in.

    5. Comment: Enter or paste the note details; a maximum of 2000 characters (single byte) is supported.

    6. Click Save.

Viewing and Updating Reservation Notes

  1. From the OPERA Cloud menu, select Bookings , Reservations, and then Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want To. . ., Notes or click the Notes link in Reservation Presentation.

  4. Select Reservation Notes tab.

  5. Select the note, click ± to expand the card and read the note comments.

  6. Select the vertical ellipsis Actions menu, and click Edit.

  7. Update details.

  8. Click Save.

Deleting Reservation Notes

  1. From the OPERA Cloud menu, select Bookings , Reservations , and then Manage Reservation.

  2. Enter search criteria, click Search.

  3. Select the reservation in the search result, click I Want To. . ., Notes or click the Notes link in Reservation Presentation.

  4. Select Reservation Notes tab.

  5. Select the vertical ellipsis Actions menu, and click Delete.

  6. Click Delete to confirm.
