Managing Event Resources

Event Resources are Items and Menus you can add to events. They include audio/visual equipment, decorations, meals, beverages, and so on. Use the Event Resources screen to add, edit, or delete items and menu resources on events.
You can add Item/Menu resources to events by searching for and selecting them from the Item/Menu drawers. Consumption based menus are visually distinguished from regular menus on the Event Resources screen by the letter (C). Multi-choice menus are marked on the Events Resources screen and the Menus drawer by (M).

Using Quick Insert

Another way to add Item/Menu resources to events is to use the Quick Insert link on the Event Resources screen. Quick Insert enables you to add the exact resource (menu or item) you need for an event without having to filter through multiple search results on the Item drawer or Menu drawer screens.
  • Properties must configure Quick Inserts in advance in order to select them for events.

  • You must know the unique Quick Insert number configured for the Item/Menu when adding it through Quick Insert. For inserting Items, you can use either the Quick Insert number or the Item Template Name.

  • When adding a new Item/Menu using Quick Insert, the Item/Menu immediately appears on the Event Resources screen. All fields and values (attendees, revenue, and so on) associated with the Item or Menu remain with the Item/Menu.

  • By default, the Item/Menu comes from the existing inventory of the property where the event is scheduled.

  • At the Hub level, if the Event property and the Block property are in different locations, OPERA Cloud checks for Item/Menu availability at the event property first. If the Item/Menu does not exist at the event property, but does exist and is available from the Block property, select the Quick Insert from the Block property.

Adding Resources Using Quick Insert

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Manage Events.

  2. Enter or confirm the Property, enter any optional search criteria, and click Search.

  3. From search results, click the event’s row level I Want To . . . and select Event Resources from the Go To column.

  4. From the Event Resources screen, Click the Quick Insert link and complete the following fields:

    1. Quick Insert/Item Template. Enter the Quick Insert number for Items/Menus or enter the Item Template name.

    2. Resource Quantity. Enter a value if you want to override the default quantity configured for Menus or Items.

    3. Include in Package. Click the check box to include the Quick Insert Item/Menu in the package. The Resource Quantity field becomes disabled.

  5. Click Save to add the resources to the event, or click Add More to continue adding resources before saving.

Adding Resources Using Item/Menu Drawers

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Manage Events.

  2. Enter or confirm the Property, enter any optional search criteria, and click Search.

  3. From search results, click the event’s row level I Want To . . . menu and select Event Resources from the Go To column.

    Note:

    An alternative way to open Event Resources from search results is to click the record’s Expand icon and then click the Event Resources link. You can expand all records by clicking the Expand All link.
  4. From the Event Resources screen, select an Event and then select either the Items drawer or the Menus drawer.

    1. Expand the Search bar for locating item or menu resources.

    2. Enter search criteria and click Search.

    3. From the list of Items or Menus, click Expand All.

    4. Select Resources. You can select multiple menu items.

    5. Click Save to save your selection and return to the list of Item or Menu resources, or click Save and Add More to continue adding items or menus to the event.

  5. With the OPERA Cloud Sales and Event Management Premium Cloud Service, you can add Items Templates to an event using the Item Drawer.
    1. Select an Event and then select the Items drawer. Multi-Item templates are indicated by the Multi-Item templates icon.

    2. Select the item template check box. You can select the template and save all of its items by clicking the Save button.

    3. Select [+] to expand the item template you selected. After expanding the Item Templates, all items are selected and you can edit the number of each item in the Quantity field.

    4. You can select individual items from the Item Template and add only those items to the Event by clicking the Save button.

Editing Resources

You can edit the number of Item or Menu resource selections added on events.

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Manage Events.

  2. From the Event Resources screen, select the Event.

  3. Select the Item or Menu you want to edit.

  4. Click the vertical ellipsis Actions menu, and select Edit.

  5. Update the changes.

  6. Click Save.

Deleting Resources

  1. From the OPERA Cloud menu, select Bookings, select Events, and then select Manage Events.

  2. From the Event Resources screen, select the Event.

  3. Select the Item or Menu you want to delete.

  4. Click the vertical ellipsis Actions menu, and select Delete.

  5. Click Delete to confirm.
